THE ROLE
We’re looking for a proactive Operations Co‑ordinator to support and strengthen our day‑to‑day operations as the business continues to grow. This is an exciting opportunity for someone who thrives on organisation, enjoys solving problems, and takes pride in making things work better. You’ll play a central role in keeping our offices running smoothly and supporting our ESG and Social Value commitments. You’ll work closely with senior stakeholders and gain exposure to compliance, audits, ESG, and facilities management, with clear opportunities to grow and take on increasing responsibility over time.
RESPONSIBILITIES
- Office & Facilities Support
- Support the effective management of all UK and international office locations, ensuring compliance with health & safety regulations.
- Co‑ordinate health & safety training and risk assessments for each location.
- Be based in the Bristol office, taking responsibility for its smooth day‑to‑day running, including creating and maintaining the office maintenance tracker, raising and managing purchase orders for the office, and co‑ordinating routine and reactive maintenance activities.
- Monitor and track office budgets, identifying opportunities for efficiency, cost reduction, and alignment with ESG commitments.
- Help build a welcoming, collaborative “One GAIN” culture across all offices.
- Arrange and co‑ordinate local Bristol office events, supporting employee engagement and fostering a strong team culture.
- Ensure all sites meet ISO 27001 physical security requirements.
- Compliance & Audits
- Maintain and continuously improve the company compliance register, working closely with Legal, Finance and HR to ensure actions are completed and properly documented.
- Create and manage a clear audit schedule across policies and regulatory requirements.
- Plan and conduct internal audits, including evidence gathering, reporting and tracking corrective and preventative actions.
- Support ongoing compliance with ISO 27001 and ISO 9001 standards.
- Conduct supplier and contractor audits to ensure contractual and regulatory compliance.
- Coordinate training and awareness initiatives on key operations compliance topics.
- Work with HR to track training attendance and ensure employees understand company policies and procedures.
- Maintain accurate, well‑structured records to support informed decision‑making at leadership level.
- Processes, Policies & Documentation
- Maintain operational process documentation to support consistency.
- Support the development and rollout of policies and procedures across the business.
- Help gather feedback across the organisation on opportunities of improvement which will help to streamline processes and improve ways of working.
- Social Value
- Track and maintain records on energy consumption across office sites for statutory accounts report, ESOS and ESG (Energy consumption & Business travel mileage and type of travel).
- Track and report on ESOS action plan and Carbon reduction plan to ensure we are hitting targets.
- Track and maintain records on the below for Social Value community commitments.
- Help coordinate Social Value initiatives across departments, including environmental programs, diversity & inclusion, and community engagement.
- Conduct desktop research on ESG trends, frameworks (e.g. GRI, SASB, TCFD), and benchmarking against peers.
- Assist with the creation of annual reports e.g. Social Value Impact report, ESG, ESOS.
- General
- Provide administrative support across operations team.
- Maintain accurate records and ensure confidentiality in handling sensitive information.
Qualifications
- Experience in operations, office management, compliance or a similar role.
- Highly organised, with excellent attention to detail.
- Comfortable managing multiple priorities and deadlines.
- Confident working with registers, trackers and structured documentation.
- A proactive, solutions‑focused mindset.
- Strong communication skills and the confidence to work with stakeholders across the business.
- A genuine interest in developing into a broader operational leadership role over time.
