Personal Assistant to CEO – 1-Year FTC (Maternity Cover)

Right now, we’re looking for a Personal Assistant to support our CEO — someone whip-smart, organised, and proactive, who can help unlock focus, flow, and efficiency at the very top of the business. This is a 12-month maternity cover role, but for the right person with the right attitude, there may be a longer-term home here at This is Beyond.
The role:
We are seeking a PA to support the CEO of the company. You will have a sharp eye for detail, a calm approach under pressure, and a sixth sense for what needs to happen before it’s asked for. You might have experience as a PA, EA, team assistant, coordinator, or in a fast-paced role where keeping things running smoothly meant you were in your element. It is vital that you know how to communicate clearly, feel comfortable managing multiple moving parts, and feel confident to support someone senior with confidence and discretion. Most importantly: you\’ll bring initiative, professionalism, and a brilliant attitude.
This is the ideal role for someone who wants to learn, grow, and be part of something that moves fast and makes an impact. Although experience working in a high-performing, fast-paced environment (e.g. events, creative, hospitality, or start-ups) environment is ideal, we are open to candidates at the earlier stages of their career who can demonstrably show they enjoy getting things done, solving problems, and supporting others to succeed.
What You’ll Do:
Be the Organiser-in-Chief
- Own and manage the CEO’s diary — prioritising meetings, protecting time, and keeping the day flowing
- Monitor inboxes, flag priorities, and help the CEO stay responsive and clear
- Book travel, accommodation, and logistics with precision and foresight
- Support with personal admin and ad hoc requests that help the CEO maintain focus
Handle Communications with Care & Clarity
- Act as the first point of contact for the CEO — representing the company with professionalism and warmth
- Draft clear, concise communications to clients, stakeholders, and team members
- Maintain absolute confidentiality and discretion at all times
Keep the Ship Running Smoothly
- Process expenses and receipts accurately and on time
- Prepare meeting agendas, take minutes where needed, and follow up on actions
- Maintain digital and physical filing systems with order and ease
Be a Thoughtful, Trusted Support
- Be a sounding board and partner to the CEO — helping them think, prioritise and protect their time
- Spot opportunities to improve processes and make smarter use of everyone’s time
- Help coordinate leadership meetings, company updates, and events with care and energy
What You’ll Need
- Transferable experience in an administrative, organisational, or coordination role
- Bachelor\’s Degree
- Excellent communication skills — written and verbal
- Strong emotional intelligence and professional judgement
- Confidence managing diaries, logistics, and competing priorities
- High attention to detail and the ability to stay calm under pressure
- A proactive, positive approach and willingness to learn
- Discretion and trustworthiness when handling sensitive information
- Comfort using digital tools like Google Suite/ Microsoft, calendars, and expense systems

Position Type: 1 Year FTC, with a 4-day working week. Our hybrid model includes 3 days in the office (located in Shepherd\’s Bush), 1 day working from home, and every Friday as a non-working day as standard.
