The Operations Office provides timely, accurate and appropriate operational services to both internal and external customers of MUFG across various entities and locations.
MAIN PURPOSE OF THE ROLE
The role will support the Business Management team in enabling the smooth running of the EMEA Operations function. The role will manage general administrative duties and requires strong organizational skills, a high attention to detail, and the ability to multitask in a fast-paced corporate environment. The role requires “owning” a task and working closely with partners to deliver results. This role will take lead in Operations to drive culture-related initiatives and initiatives in close collaboration with culture influencers, management and wider stakeholder groups.
Key Responsibilities
General Administration
- Support the smooth running of EMEA Operations function by working closely with the Business Management team to deliver on various initiatives and requirements.
- Provide day-to-day administrative support working alongside the Business Management team, e.g., general coordination, gathering information across Operations, support in the production and analysis of management information etc.
- Point of contact for general administrative queries across Operations.
- Support in the cost control management of Operations e.g., raising Procurement Application Requests in line with policies & budget. Centrally coordinate invoices.
- Manage Training requests and support the administration.
- Process expenses timely and accurately resulting from any travel and/or entertainment.
- Co-ordinate meetings and events including managing video conferencing, room bookings, ordering catering and liaising with vendors/suppliers as required.
- Keeping EMEA Operations organisation structure and other internal documents up to date.
- Manage email distribution lists for EMEA Operations.
- Coordinate office space and desk layout. Work in partnership with facilities to manage the office environment.
- Maintain and promote Operations’ Intranet pages to ensure accurate and up-to-date information.
- Support with ad-hoc business travel and arrangements for the Head of Operations and management team. Providing periodic support in arranging/co-ordinating key stakeholder meetings such as EMC and GOPD meetings.
- Liaising with the Business Management teams and Executive Assistants of other functions to co-ordinate events, provide availability and schedule key meetings.
Culture Initiatives:
- Work closely with HR, management, and other key stakeholders to ensure alignment of culture initiatives with business objectives.
- Design and implement activities that embed the MUFG Culture Principles within Operations.
- Keep track of activities, progress, actions and report status to Ops management and wider stakeholders.
- Gather and analyse employee feedback through channels such as focus groups etc.
- Support the analysis of Employee Survey results and work with the Cultural Influencers to identify opportunities to take action such as focus groups.
- Produce newsletters and leverage other communication channels to keep Operations informed, connected and engaged.
- Actively participate and where appropriate represent Operations in MUFG wide Culture forums, meetings and/or committees.
Work Experience
- Knowledge and experience within a regulated and organisationally complex environment preferred, ideally financial services.

- Problem solving and decision making skills.
- Adaptable and flexible to suit the needs of the role, including minimum three days in office.
