I'm now recruiting for a newly created role within an events and orders team for a national and award-winning ecommerce/events business based in Aylesbury. The position we are adding to the team is an Events Coordinator, which will initially be an 8-month Fixed Term Contract, with a view to embedding someone into the new role and securing it as a longer term, permanent fixture in the team.

In this position you will be working as part of a tight-knit team of four people, working across multiple teams and getting involved in all sorts of administration, booking, coordination and supporting on a number of other projects. This is an extremely diverse role: some days will be fully desk-based, processing new orders and setting up new events, while other days you may find yourself down in the warehouse helping and coordinating things because of a last-minute amendment to an order or event.

We are looking for someone with strong administration experience, excellent communication skills, customer service skills and great problem-solving ability. In this role, you would be working a basic Monday to Friday, 9am to 5pm, with hybrid working available once a week after probation and some shared weekend emergency phone cover. The role is paying a salary of £28,000 for the right person, with the possibility of higher pay if you tick all the boxes and more. The role is based in our Aylesbury offices, so ideally you will be a driver or able to commute easily to offices near Aston Clinton.

What does the day‑to‑day look like?

  • Coordination
    • Handling day‑to‑day orders
    • Proactively taking calls and handling client emails in a timely and professional manner
    • Arranging deliveries and collections via drivers and planning drivers’ routes and costings for each job daily
    • Maintaining and updating the online ordering system for stock control and condition of equipment/weights/sizes/pictures/locations/barcodes
    • Proactively taking internal and external calls and handling emails for clients
    • Keeping within client budgets
    • Producing H&S reports, risk assessments and method statements
    • Completing monthly stock reports for all customers when required
    • Ensuring all costs are completed within the deadline across all reporting tools for the finance team within the deadline period
  • Communications
    • Liaising with the warehouse management team and warehouse operatives to ensure orders are met
    • Booking and liaising with drivers, external crew and suppliers when required
    • Ensuring all documentation and information is passed on to ensure smooth execution of the task, job or event
    • Providing advice, support and guidance to the administrators and other account managers within the team as needed
    • Working with the whole team to ensure that all daily tasks within the office are met in a timely and efficient manner

  • Ability to commute daily to Aston Clinton from the Aylesbury offices
  • Experience in administration and any events, coordination or scheduling work is a huge bonus
