The Business Administrator plays a vital role in ensuring the smooth running of the People function and the wider office environment. This role provides comprehensive administrative support across HR processes, performance management, recruitment coordination, onboarding and offboarding, HSE compliance, facilities and maintenance management, and general office operations.
The postholder will be highly organised, proactive, and detail‑oriented, ensuring that documentation, systems, and processes are accurate, compliant, and delivered to a high standard.
- HR Administration
- Support the full employee lifecycle, including onboarding, probation reviews, performance check‑ins, and offboarding.
- Maintain accurate HR records, documentation, and HRIS updates.
- Assist with absence tracking, reporting, and general HR queries.
- Provide administrative support for recruitment, including scheduling and candidate coordination.
- Performance Management
- Coordinate performance review cycles and ensure timely completion of forms.
- Track progress, follow up with managers, and maintain performance documentation.
- Health, Safety & Environment (HSE)
- Maintain HSE records, compliance logs, and statutory documentation.
- Coordinate mandatory training (fire safety, first aid, workstation assessments).
- Liaise with HSE consultants and providers for inspections, audits, and risk assessments.
- Support incident reporting and ensure follow‑up actions are recorded.
- Facilities & Office Management
- Act as the main contact for building management and external suppliers.
- Coordinate repairs, maintenance, and building access.
- Manage office supplies, equipment, and inventory.
- Oversee meeting rooms, visitor management, and general office upkeep.
- Maintain the office maintenance tracker and ensure scheduled tasks are completed.
- Onboarding & Offboarding
- Prepare induction plans, equipment, and system access for new starters.
- Coordinate introductions and ensure onboarding checklists are completed.
- Manage equipment returns, system deactivation, and exit documentation for leavers.
- Engagement & DEI Support
- Assist with internal events, engagement activities, and DEI initiatives.
- Support internal communications and shared calendar updates.
- Document & Policy Management
- Manage document maintenance schedules and ensure compliance.
- General Administration
- Provide ad‑hoc administrative support across HR, Operations, and Facilities.
- Prepare reports, spreadsheets, and presentations as required.
- Ensure confidentiality and GDPR compliance at all times.
