Why be a Studio Coordinator at THG Beauty?
Reporting into the Creative Photography Manager, this role is pivotal in supporting the day‑to‑day running of the Photography Studio. Working closely with the Photography Manager, the role supports the Studio team by owning the end‑to‑end shoot process, scheduling, shoot preparation, studio maintenance and samples handling, working closely with cross teams (namely Social, Buying, Brand Partnerships and Retail Media) to ensure the timely delivery of samples and preparation for shoots.
We’re looking for someone who is driven, organised, can remain calm under pressure, thrives in a fast‑paced team and can be flexible while working to meet the demands of the business. This role will suit someone very organised, process and detail oriented, who is methodical in how they approach admin tasks. You’ll also excel when it comes to collaborating with different teams across the business including Buying, Merchandising, Brand Partnerships and Social.
As a Studio Coordinator you’ll:
- Samples management – making sure samples are arriving in time for shoots. You will be responsible for owning the end‑to‑end samples process, working closely with cross teams (namely Social, Buying, Brand Partnerships and Retail Media) – closely managing deadlines with the relevant team members, chasing and tracking to ensure the timely delivery of samples in preparation for shoots.
- Unpack, organise and label samples by individual shoot, ensuring they are correct as per the request.
- Store away samples once finished with shooting to keep all desk and studio spaces clear, ensuring the sample cupboards are kept tidy and organised.
- Working closely with our in‑house photographers to communicate and help to manage any delays – notifying the team and updating the photography calendar accordingly.
- Schedule support – support with scheduling and organising the photographers’ time, covering both shoot and retouch days.
- Studio Maintenance – make sure regular inventories are undertaken to ensure the studio is organised and maintained eg: kit, batteries, colourmaps, tape, wires are all stocked.
- Expenses and budget tracking – regularly maintaining and ensuring up to date tracking of studio expenses across the photography tracker, budget tracker, departmental credit card tracker and uploading expenses/receipts to Expensin.
- Resource management – raising POs, organising and booking freelancer support.
- Processing manual orders from the THG/Cult Beauty warehouse where needed for photo shoots.
- Assisting the Art Director & Photographer with prop sourcing, ordering and maintenance.
What skills and experience do I need for this role?
- A minimum of 1-3 years experience in a similar role, ideally in a beauty, fashion or retail environment.
- Extremely well organised with strong planning skills. You are motivated by maintaining process within a fast‑paced environment and proactively look for new ways to improve efficiencies in process and workflows.
- Strong time‑keeping skills; managing and meeting sample deadlines is crucial.
- A self‑starter who can manage tasks independently and collaboratively.
- Excellent communication skills; a strong level of diplomacy and confidence in communicating with brands and colleagues in regard to sample coordination, in a calm and clear way.
- Flexible and able to work in a fast‑moving environment with competing deadlines and priorities.
- Ability to thrive in an environment where your responsibilities will change based on the current project, problem or campaign.
- Proficient in Microsoft Office and Excel, ideally a good working knowledge of workflow management systems i.e; monday.com.
- A keen interest in the beauty industry.
Desirable
- Knowledge or basic understanding in some photographic software: Capture One & Photoshop.
