PM Law Group have an exciting opportunity for Conveyancing Legal Assistants to join their team. The ideal candidate will provide general administration assistance as part of the Client Facing Concierge Team whilst delivering the highest level of customer service to clients.
Key Responsibilities
- Communicating with clients over the telephone, by email and in face-to-face meetings as part of the Client Facing Legal Assistant Team always providing the highest level of customer service to clients.
- To communicate with and provide updates to other solicitors, estate agents and other professional organisations.
- Carrying out Solicitor and Client Due diligence.
- Requesting Documentation fundamental to the transaction.
- Ensuring documents are returned by clients and work providers, chasing them if required and progressing Transactions.
- Logging correspondence to the correct files/matters.
- Entering data into the correct fields in the case management system from correspondence received.
- Logging and completing tasks on the case management system.
- Performing general administration tasks.
- Manage priorities effectively whilst demonstrating flexibility, often balancing conflicting demands.
- To update all panel members/stakeholders within the business and within the referral businesses with whom we deal.
- Ensuring portals are kept up to date.
- Drafting sale contracts and re-mortgage documentation as required.
- Checking the title on a sale.
- Dealing with Lenders on both sale and purchase matters such as requesting redemption statements.
- Drafting completion statements and bills.
- Preparation of files for completion to include final searches, requests for mortgage advances and liaison with Clients as to receipt of balance funds.
- Obtaining authority to exchange and complete.
- Requesting source of funds information.
- To meet all key SLAs and KPIs within the department/referrers’ requirements.
- To be a role model for those around you in both file management, actions, and behaviour.
- To always ensure individual compliance with all PMPL policies and procedures.
- To attend and contribute to team meetings.
- To report directly to the Conveyancing Team Managers on all above aspects.
- You may be required to perform any other duties and to work in any other areas as requested by the company if necessary, which may include other offices and those of clients.
Who we’re looking for
- Minimum of 2 years’ experience – essential.
- Can work to deadlines.
- Has a real attention to detail with a keen eye.
- Has the ability to prioritise workloads.
- Demonstrates the willingness to adhere to and surpass set targets.
- Can work on own initiative and as part of a team.
- Has an excellent telephone manner, client care and enthusiasm.
- Must be able to communicate well both orally and in writing.
- Understanding of e-mail systems, portals and other IT as appropriate.
- Good standard of spoken and written English required.
- Competent use of MS Office required.
- Audio typing experience.
- Experience with case management systems is desirable, but not essential.
- Ability to work in a team and independently, with flexibility to help out in other departments where required.
