The Role

We’re looking for a People Manager / People Ops Specialist to take full ownership of our day-to-day people operations. You’ll be the backbone of how our team runs – operationally sharp, ruthlessly organised, and deeply committed to making things work better, faster, and more effectively.

At Healf, we don’t apply processes for the sake of it. We build what makes sense for our people, pace, and performance. This role is about making things seamless, not slow. From onboarding and contracts to our office space and HR systems, you’ll ensure everything runs cleanly, simply, and at a high standard.

You’ll work closely with the Head of People (who leads on strategy, hiring bar, and culture) and be trusted to take ownership from day one. You are the heartbeat of our culture and the engine of our operational excellence. Every process you improve, every experience you shape, and every question you answer helps us build a workplace where people do their best work and feel proud to belong.

What You’ll Own

  • Onboarding & Offboarding: Own the full joiner/leaver journey – Slack access, Notion setup, laptops, tech, welcome email, pre-start comms, and Day 1 logistics.
  • HRIS (Humaans): Maintain clean, compliant, and accurate data. Nothing is out of date under your watch.
  • Contracts & Compliance: Draft, update, and manage employment documentation and compliance processes. Ensure our approach is not just compliant, but also embody our culture
  • Payroll & Benefits: Coordinate monthly payroll and benefits with Finance. Ensure every detail is right so our team feels secure, and knows we have their back (for example)
  • Office Operations: Make the London HQ an exceptional place to work – bring the energy and ensure everyone has what they need to do their best work! You own the environment.
  • Meeting & Ritual Logistics: Manage logistics for all-hands and team rituals – book rooms, prep decks, chase slides, coordinate AV. You make it run on time and on point.
  • People Admin & Support: Design, build, and continuously improve intuitive, self-serve systems for HR, IT, and workplace processes -so teams can access what they need, when they need it, with minimal friction or reliance on support. You create seamless workflows, clear knowledge bases, and automation that empower employees to own their experience and free up time for higher-impact work
  • Notion Ownership: Maintain and evolve our People Wiki and onboarding spaces. Keep everything accurate, clear, and genuinely useful.
  • Automation & Efficiency: Spot repetitive tasks and streamline them – using Slack workflows, Notion templates, Zapier, or smarter systems. You think, “How can this be easier?”
  • Policy & Process Maintenance: Keep our internal processes tight, practical, and scalable. Flag legal changes and partner with the Head of People to adapt accordingly.
  • Project & Event Support: Support people-related initiatives – offsites, onboarding revamps, engagement surveys, etc.
  • Recruitment Support (flex only): Occasionally assist with job postings, approvals, or JD drafting as needed (all hands on deck if team hiring team requires it). This is not a core part of your role.

Reporting Line

Reports directly to the Head of People, who owns culture, hiring strategy, and performance enablement. You’ll be their trusted operator – owning execution and ensuring nothing falls through the cracks.

About You

  • Tech-savvy: fluent with tools like Humaans, Notion, Google Workspace, Slack, Zoom
  • Confident navigating UK employment law, compliance, and data protection standards 2–3 years’ experience in People Ops or HR Generalist roles in high-performance or high-growth environments
  • Exceptionally organised and detail-oriented – you set the bar for execution
  • Proactive and ownership-driven – you don’t wait to be asked, you make things better
  • Enjoy building structure, spotting inefficiencies, and automating where possible
  • A calm, clear communicator who’s trusted by colleagues to get things done
