We are currently supporting Coventry University Group to recruit for an Operations Assistant to contribute to the effective running of CU Coventry; working as a key member of the campus Operations Department and supporting the Operations and Finance Manager and Head of Operations, to ensure operational, administrative and financial activities run smoothly and efficiently whilst promoting professionalism by maintaining good supplier and customer relations.
- Work as part of the Operations Team to support campus operations and projects.
- Deal with a wide range of enquiries from staff, students and external stakeholders in person, over the phone/Teams and by email.
- Process financial transactions and maintain budget information with high levels of accuracy. Liaise with colleagues in Coventry University regarding financial regulations and advise campus staff on matters relating to procurement and purchasing.
- Create and maintain spreadsheets and databases. The collation of financial, inventory and health and safety information will inform various groups including the Senior Management Team and Coventry Estates.
- Perform analytical tasks, i.e. extraction of data from spreadsheets and databases and creation of reports for the Head of Operations and/or Operations Manager and Senior Management Team in a timely and detailed manner.
- Support the campus Management Team on HR related tasks including the recording of HPT and EE Timesheets and staff recruitment activities.
- Support meetings, groups and committees on campus, taking minutes and recording and chasing actions as and when necessary.
- Organise and book travel and accommodation for campus staff and visitors.
- Ensure compliance with the Data Protection Act 2018 and all other rules and regulations that govern the work of CU Coventry.
- To be a Display Screen Equipment Assessor (full training will be provided).
- To be involved with and help with organisation and checking of campus wide events, such as Welcome events, Graduation, etc. and any other such requirements, as deemed necessary.
