Hours: This role is working 33.75 hours per week. The working hours will be from 10am to 5:30pm, 5 days per week.
Become a People Services Assistant. Reporting into the People Services Team Leader, you will play an essential role within the People Team. As an experienced administrator, with some HR knowledge and a desire to learn and develop, you will support your team and our people across their full colleague lifecycle journey. With wonderful communication skills, both written and verbal, you easily build rapport with internal and external stakeholders and provide an excellent service to our colleagues, who truly feel supported through your assistance. As a keen learner with a growth mindset, you seek to continuously learn from your team and stretch yourself into new scenarios to level up your knowledge, whilst delivering against routine deadlines. You will be learning and absorbing items of HR legislation relative to the role – under the guidance of your experienced colleagues.
Your Mission:
- You are responsible for some of the key day‑to‑day duties within the People Services team, which ultimately ensure that around 4,000 colleagues receive a best‑in‑class, end‑to‑end colleague lifecycle, from joining us, to life’s big moments, to leaving us.
- Issuing offer letters and contracts to new colleagues and answering any queries that may arise, escalating to a People Services Advisor where required.
- Playing a part in setting up new colleagues on our systems, including employee self‑service.
- Maintaining processes to ensure new colleagues have an excellent onboarding and that they’re set up for success, including issuing welcome communications, ID badges, and uniform as required.
- Maintenance of an accurate organisation structure within our relevant systems by executing the setup and deletion of roles, stores, and functions with a level of attention to detail.
- Processing changes to personal and contractual details, including relevant updates to systems and communications to colleagues.
- Supporting colleagues during important life moments such as maternity or paternity leave by providing timely and accurate query responses and communications.
- Monitoring the right to work of new colleagues to ensure compliance with relevant legislation, escalating as required.
- Creating and issuing Confirmation of Employment letters for colleagues.
- Maintaining and updating our ‘meet the team’ document.
- Processing new member requests for our Facebook group as well as removing leavers.
- Responding to day‑to‑day queries raised by our colleagues in multiple forms in an efficient manner.
- Filing of documentation.
- Processing of post and sending out of documents/equipment.
- Accurate and timely provision of data entry requirements.
- Best in class service delivery as determined by customer feedback.
- A seamless escalation process through to the People Services Advisors and ER Team.
Skills/Behaviours That Will Set You Apart:
- Basic HR knowledge/understanding: You possess a foundational understanding of HR principles and practices, which will enable you to navigate and contribute effectively to our People Services team.
- Administration experience: Your background in administration equips you with the skills to manage various tasks and processes efficiently, ensuring smooth operations and support within the team.
- HR system experience: While not essential, experience with iTrent would be an asset, allowing you to hit the ground running with our HR systems and processes. But, if you’re a dab hand with computer systems and a quick learner, you’ll be off to a great start!
- Supporting a busy function: You thrive in fast‑paced environments and can juggle multiple responsibilities and tasks at once, whilst providing crucial support to a bustling team.
- Intermediate level of Word and Excel: Your proficiency in Word and Excel means you can create, edit, and manage documents and spreadsheets with ease, contributing to the team's productivity.
- Experience within a large retailer / multi‑location business: Having worked in a large retail or multi‑site location environment would be beneficial, giving you insight into our industry, but your enthusiasm and willingness to learn are what truly matter.
