Head Office – Wonderfield Group, Acton & Shoreditch, Hybrid working – 3 days in office, 2 days remote. Contract: Full Time. Salary: £60,000 – £65,000. Contracted Hours: 40 hours per week.

About The Role

This role is more than a traditional EA position; you will be at the heart of the leadership team, managing complex schedules, anticipating needs, and ensuring priorities are aligned. You will also take ownership of office operations across the Acton campus, ensuring a seamless and professional working environment.

Key Responsibilities

  • Extensive and complex diary management across multiple senior stakeholders, including prioritisation, conflict resolution, and forward planning.
  • Act as a gatekeeper and key point of contact for the SLT, managing communications and stakeholder relationships internally and externally.
  • Coordinate and manage international and domestic travel, including detailed itineraries and last-minute changes.
  • Prepare high-quality presentations, board packs, and briefing materials.
  • Attend Executive meetings, take accurate minutes, and track actions to completion.
  • Support leadership with planning cycles, key projects, and business priorities.
  • Manage confidential information with absolute discretion.
  • Oversee day‑to‑day operations of three offices on the Acton campus.
  • Manage suppliers, budgets, and office‑related contracts.
  • Ensure full compliance with health & safety and workplace standards.
  • Lead office improvements, space planning, and employee experience initiatives.

Qualifications

  • Proven experience as a Senior Executive Assistant supporting multiple senior leaders (ideally at SLT/Board level).
  • Exceptional diary and stakeholder management skills.
  • Strong commercial awareness and ability to anticipate executive needs.
  • High level of discretion and professionalism.
  • Excellent communication skills, confident engaging at all levels.
  • Highly organised, adaptable, and calm under pressure.
  • Multilingual preferred – Japanese language a strong advantage.
