Job Overview: We are seeking a highly organised and proactive Foundation Coordinator to support the smooth operation and governance of a portfolio of Grant Making Foundation clients. This role acts as the key liaison between trustees and supported charities, ensuring accurate financial tracking, effective communication, and timely administrative support, including the preparation of board materials and professional minute-taking.
Key Responsibilities- Board Administration & Governance
- Prepare and distribute board packs and meeting agendas in advance of trustee meetings
- Take accurate, professional minutes during meetings and ensure all agreed actions are followed up and completed
- Act as the first point of contact between trustees and the charities they support
- Schedule and coordinate board meetings and document preparation with relevant stakeholders
- Client Relationship Management
- Manage the ongoing relationship between Prism and a portfolio of Foundation clients
- Liaise regularly with trustees and supported charities to coordinate and communicate donations
- Respond promptly to charity and trustee enquiries, providing timely and accurate information
- Administer foundations finances, including but not limited to managing bookkeeping, reconciliation, cashflow
- Update monthly income and expenditure records for each Foundation client, ensuring accurate balances for year-end reporting
- Maintain accurate financial records and prepare documentation for accountants to complete audits and annual returns
- Monitor and assess project reports from grantees
- Conduct due diligence and compliance requirements for grant making
- Prior experience working in the charity, philanthropy, or professional services sectors is desirable
- Strong administrative and organisational skills with excellent attention to detail
- Experience in conducting due diligence to ensure grant activities comply with UK charity law and Charity Commission regulations
- Experience in board support, including agenda setting, minute-taking, and action tracking
- Excellent interpersonal and communication skills, with the ability to liaise confidently with trustees and charity partners
- Proficiency in Microsoft Office Suite (especially Word and Excel); experience with banking or financial systems is a plus
- Ability to manage multiple tasks and priorities in a deadline-driven environment
- Proactive, resourceful, and solution-oriented
- Discreet and trustworthy with confidential information
- Comfortable working independently and as part of a team
- Client-focused and committed to high standards of service delivery
