General Function
- To provide efficient and effective administrative support to Edgwarebury Cemetery & Hoop Lane Cemetery.
- To deliver the highest standards of service within a respectful, compassionate, and customer-focused environment.
- This is a dual-site role with time spent at both cemetery offices. There is also the option to work remotely one day per week, subject to operational requirements.
Role-Specific Responsibilities
- Respond to telephone enquiries in a professional and empathetic manner, identifying the most appropriate route to a satisfactory conclusion and ensuring a courteous and confident experience for the caller.
- Greet and assist visitors to the cemeteries with sensitivity and professionalism, including bereaved families and members of the public.
- Communicate clearly and appropriately with a wide range of stakeholders including:
- Cemetery management and staff
- Funeral directors
- Stonemasons
- Board members
- Suppliers and contractors
- Community representatives
- Manage the cemetery diary: coordinate funeral bookings, stone settings and other appointments and events in harmony with internal teams and religious/community organisations.
- Ensure the prayer hall is appropriately prepared for each service, including the correct layout and placement of prayer books.
- Maintain accurate, timely and confidential records using the Cemetery Management System, and other digital software or paper-based tools.
- Work collaboratively as part of a small team, while demonstrating the ability to take initiative and work independently when required.
- Prioritise workload effectively and remain calm under pressure, maintaining a high level of attention to detail and service delivery.
Flexibility
- The post holder may occasionally be required to carry out additional duties as necessary to meet the operational needs of the cemeteries.
- Working hours may need to be extended on occasion, for example when funerals overrun, or when support is required beyond normal office hours.
Person Specification
A. Experience
- Demonstrable experience in administrative roles, preferably in bereavement services, religious organisations, or customer-facing environments
- Experience handling sensitive enquiries with empathy and professionalism
- Familiarity with diary management and coordinating appointments or events
B. Skills and Abilities
- Excellent communication skills, both verbal and written
- Strong organisational skills and attention to detail
- Ability to prioritise workload and remain calm under pressure
- Proficiency in Microsoft Office and database software
- Ability to work independently and collaboratively within a small team
- Discretion in handling confidential information
