The HR Administrator provides comprehensive administrative and operational support to the Human Resources function. The role is responsible for maintaining accurate employee records, supporting HR processes across the employee lifecycle, and ensuring all HR activities are delivered efficiently, confidentially, and in compliance with Company policies and employment legislation. The HR Administrator plays a key role in ensuring the smooth running of day-to-day HR operations and acts as a first point of contact for routine HR queries.

Key Responsibilities

  • HR Administration & Employee Records
    • Responsible for delivering HR administrative processes accurately and within defined timelines.
    • Maintain accurate and up-to-date employee records via BambooHR, ensuring compliance with data protection regulations (GDPR).
    • Process employee lifecycle changes, including new starters, contractual changes, promotions and terminations.
    • Prepare and issue HR documentation such as contracts of employment, offer letters, variation letters and confirmation of employment.
    • Ensure all employee data is accurately recorded on BambooHR.
    • Conduct regular audits of HR data to ensure accuracy and compliance.
  • Onboarding and Offboarding Administration
    • Prepare offer documentation and support pre-employment checks (e.g. references, right to work checks, DBS checks).
    • Manage onboarding processes for all employees and sub-contractors; including the arrangement of all IT equipment and access rights, issuing new-starter paperwork, co-ordinating inductions and ensuring completion of new starter information.
    • Support exit processes, including end dates in BambooHR, issuing leaver paperwork and informing payroll.
  • HR Operations, Systems and Reporting
    • Maintain and update BambooHR, ensuring data integrity and confidentiality.
    • Support the HR Advisor and Head of People in generating HR reports, including headcount, absence and turnover.
    • Support HR audits and compliance reporting.
    • Identify opportunities to improve HR administrative processes and systems.
    • Produce month-end reports for payroll processing.
  • Employee Support & HR Queries
    • Act as first point of contact for routine HR queries from employees and managers, providing accurate and timely information.
    • Escalate complex or sensitive issues to the HR Advisor or Head of People as appropriate.
    • Provide administration support for employee relations processes, including preparing documentation and co-ordinating meetings.
  • HR Projects & Continuous Improvements
    • Support the delivery of HR initiatives and projects, such as system implementations and employee engagement activities.
    • Contribute to process improvements to enhance efficiency and service delivery within the HR Function.
  • Ad-Hoc
    • Ordering office equipment and stationery supplies.
    • Responsible for staff uniform ordering.
