Reporting to the Security Operations Manager, the Concierge/Security Contractor is responsible for providing a professional and welcoming presence at the assigned Property(s), ensuring security, access control, and customer service standards are met. This role involves monitoring building activity, assisting tenants and visitors, and supporting security operations while maintaining confidentiality and professionalism.

Summary of Responsibilities

  • Building Access & Security Operations
    • Undergo training on various building controls, including card programming (Access Control Management) and Security Camera Observations.
    • Greet and direct visitors, including clients and service providers, ensuring a welcoming and secure environment.
    • Assist contractors by verifying their work locations and facilitating access as needed.
    • Require visitors to sign the logbook if necessary and notify tenants or hosts of their arrival.
    • Ensure all keys and access cards are returned and accounted for.
    • Maintain confidentiality of logbooks and camera surveillance records.
    • Become proficient in operating control room equipment, such as access controls, fire alarm panels, energy management systems, and security cameras.
  • Facility Monitoring & Reporting
    • Conduct routine checks of lobbies, parking areas, and elevators to ensure proper operation and cleanliness, reporting any deficiencies to the Building Maintenance Team.
    • Review security activity logs for significant events and provide a daily email report to the Security Supervisor and Property Manager.
    • Verify that security patrols are completed thoroughly by reviewing logs or security transactions.
    • Collaborate with the daytime Control Room operator in their duties and provide shift coverage when needed.
    • Communicate instructions and updates to employees on other shifts to ensure smooth transitions.
  • Emergency Preparedness & Response
    • Undergo Fire Marshal training and certification provided by The Waterfront.
    • Assist in developing, updating, and implementing security procedures for emergencies such as riots, terrorism, and disasters.
    • Attend security-related meetings to stay informed on best practices and procedural updates.
    • Train security personnel (both outsourced and in-house) and remain familiar with all aspects of their duties.
    • Generate reports on security access, incidents, health and safety matters, and other security concerns.
  • Customer Service & Assistance
    • Provide support to tenants, neighboring properties, police, and the general public regarding security and health and safety concerns.
    • Assist in coordinating security measures for special events, including additional guards, door access control, and parking logistics.
    • Monitor and manage parking in all designated areas, ensuring compliance and addressing offenses.
    • Report any suspicious activity, safety hazards, leaks, or incidents to the Security Control Room and Building Management Team.
    • Carry out any other responsibilities as required, upholding a high level of professionalism and customer service.

Qualifications

  • Previous experience in security, concierge services, or property management is preferred.
  • Proficiency in Microsoft Office Suite and the ability to quickly learn and navigate various software and technical systems.
  • Strong interpersonal and communication skills.
  • Ability to handle emergencies calmly and efficiently.
  • Familiarity with access control systems, fire alarm panels, and security monitoring equipment is an asset.
  • Must be detail-oriented and able to maintain confidentiality.
  • Maintain active certification in CPR, AED, and First Aid, ensuring these remain up to date.
  • Must be able to work various shifts, including weekends and evenings, as needed.
  • Maintain a professional demeanor at all times when interacting with tenants, visitors, and colleagues.
  • Must adhere to the company’s dress code (Section 2.4 of the Company Handbook) by wearing a collared shirt, dress pants, and appropriate footwear. Jackets or suits are not required.
