We are seeking a highly organised and adaptable Reservation & Events Assistant to join our team in a dynamic, multi-faceted role. As the central hub of our guest experience, you will serve as a primary point of contact for telephone and event inquiries, as well as the welcoming face of our venue.

This is an exciting time to join us. As the Walcot Group continues to evolve, we are set to launch multiple new event spaces in 2027. We are looking for a proactive professional who thrives in a fast-paced environment and possesses the versatility to transition seamlessly between administrative coordination and active floor support.

Key Responsibilities

  • Reception & Guest Relations: Warmly greet all arriving guests, manage reservations, and act as the first point of contact for incoming inquiries. Confidently handle complex guest requests or challenging situations with composure, tact, and grace.
  • Events & Administrative Support: Utilise your strong administrative background to manage booking systems, assist with event logistics and handle general correspondence.
  • Private Dining & Event Coordination: Be a point of contact for private dining inquiries. Manage end-to-end guest communications leading up to bookings, ensuring bespoke requirements, dietary needs, and run sheets are seamlessly documented and briefed to the team.
  • Wedding & Future Events Liaison: Serve as a liaison assistant for prospective wedding clients and large-scale event planners - guiding them through inquiries and acting as a trusted link for future celebrations as our new spaces open.

Schedule & Flexibility

  • Primary Hours: Minimum 30 hours per week.
  • Flexibility: Candidates must demonstrate flexibility to provide daytime or evening coverage when business needs arise.

Candidate Requirements

  • Experience: Essential background in an administrative-based role and strong experience in a fast-paced, customer-facing hospitality environment.
  • Organisation & Resilience: Highly organised and efficient, with a proven track record of staying composed and professional under pressure or when managing difficult guest scenarios.
  • Technical Proficiency: Prior experience with professional reservation systems (e.g. SevenRooms, ResDiary) is strongly preferred.
  • Proactive Work Ethic: A hands-on, team-player mindset with the initiative to spot where help is needed on the floor without prompting.
