Location: Vale Resort, Pontyclun

Your Aim

Working as part of the Vale HR department, you will be responsible for compliance and HR administration whilst supporting the HR Advisor to implement the HR strategy.

Key Responsibilities

  • HR
    • Assist in recruitment of staff, creating job adverts and forwarding candidates to the relevant HOD’s.
    • Providing letters, payroll information and references to staff where required.
    • Issue contracts and required paperwork for permanent staff and provide starter packs for casual staff.
    • Support the induction of new starters.
    • Ensure the first aiders and fire marshal staff list is up to date and organise training when required.
    • Maintain the first aid supplies.
    • Provide guidance on Company policies and basic HR issues including company absence policy, SSP, SMP, SPP etc.
    • Assist with new projects as and when required.
  • Compliance
    • Ensure accurate records for HACCP are maintained.
    • Download training data from the Vale online system on the last Monday of each month and distribute a summary to HOD’s.
    • Support with the Certificate of Sponsorship Compliance.
    • Ensure any licences that are required at the Resort and Hensol Castle Estates including liquor, wedding, PPL, PRS etc. are renewed as required.
    • Maintain the contractor listing for all contractors working at The Vale Resort ensuring all relevant documents are scanned onto the intranet.
    • Support the HR Advisor with H&S for the Resort, ensuring compliance with the monthly checks.
    • Maintain the Vale “drivers listing” and checked data to ensure vehicle inspections are completed monthly.
  • Payroll
    • Maintain the Vale Resort payroll spreadsheet and ensure hours, starters, leavers and miscellaneous payments are accurate.
    • Provide weekly timesheets to HODs, auditing and inputting them on return.
    • Downloading payroll spreadsheet into the CHRIS system, checking and calculating sick payments.
    • Check bonus entitlement and ensure bonuses are signed off with correct authority prior to processing for payment.
    • Update the CHRIS payroll system with starters, leavers and transfers and any other payroll change ensuring the paperwork is submitted correctly, and in particular ensuring right to work is satisfied.
    • Maintain TAS system updating absences and holidays, lieu etc.
    • Implement payroll cross charges procedures.
    • Providing Finance Department with monthly accrual for casual and overtime accruals.
    • Support the H/R team with the accurate and timely production of monthly payroll.
  • Resort Administration Support
    • Regularly review guest feedback, recording all complaints and issues highlighting areas of concern to the Senior Management Team and HOD’s, pro-actively working with the team to improve areas of weakness, suggesting improvements to procedures and highlighting training needs.
    • Respond to guest feedback as and when required following discussion with Senior Management.
    • Manage all charity requests in conjunction with the Marketing team and Operations Managers.
    • Take responsibility for customer relations for the Hensol Castle Apartment tenants and residents.
    • Manage the administration of the rental portfolio, also being the main point of contact for the residents.
    • Ensure a full checklist and inspection is completed before any tenants vacate the apartments to ensure any damages and issues are resolved in an amicable manner.
    • You will be the main liaison person for tenant queries for payments, and any maintenance issues that arise within the property.
    • Provide administration support, including arranging meetings, appointments, travel for the Executive team as required.
  • Health and Safety
    • Attend health and safety training as required.
    • Report all hazards.
    • Understand and adhere to GDPR regulations.
    • Maintain confidentiality within the HR department.
    • Keep up to date with company procedures including addendum, memos and help guides.
