We are seeking an experienced and motivated Deputy Practice Manager to join our busy and friendly GP practice. The successful candidate will support the Practice Manager in the day-to-day operational running of the surgery, helping to ensure the smooth delivery of high-quality patient services. This is an excellent opportunity for an organised and proactive individual with leadership experience within primary care or a healthcare setting.
The role includes overseeing administrative and reception teams, supporting HR processes such as recruitment and rota management, assisting with finance and reporting, and ensuring compliance with NHS and CQC standards. You will also play a key role in improving systems, supporting patient experience initiatives, and deputising for the Practice Manager during periods of absence. The successful applicant will work closely alongside our existing Deputy Practice Manager, sharing responsibilities and collaborating to support the smooth operational management of the practice.
Main duties of the job:- Support the Practice Manager in the day-to-day operational running of the practice, ensuring smooth and efficient service delivery.
- Work collaboratively with the existing Deputy Practice Manager to support operational leadership across the practice.
- Oversee and coordinate non-clinical staff including reception and administrative teams.
- Assist with staff management including recruitment, onboarding, training, rota planning, and performance support.
- Act as a point of contact for HR processes, supporting employee relations in line with practice policies.
- Support financial administration including invoicing, budget monitoring, and basic reporting.
- Ensure compliance with NHS contractual requirements, GDPR, Health & Safety, and CQC standards.
- Help manage patient services, including complaints handling, patient feedback, and service improvements.
- Maintain and improve practice systems, workflows, and digital processes including clinical systems and appointment management systems.
- Support QOF (Quality and Outcomes Framework) and other performance-related reporting where required.
- Liaise with external stakeholders including the Integrated Care Board (ICB), Primary Care Network (PCN), NHS suppliers, and community healthcare services.
- Contribute to business continuity planning and operational resilience.
- Deputise for the Practice Manager during periods of absence, ensuring continuity of leadership and operational decision-making.
- Experience working within a GP practice, primary care, or healthcare setting.
- Previous supervisory or management experience.
- Excellent organisational and leadership skills.
- Strong communication and interpersonal abilities.
- Ability to prioritise workload and work under pressure.
- Strong IT skills including Microsoft Office and experience using primary care clinical systems such as EMIS Web, Docman, AskMyGP, and ICE.
- Understanding of confidentiality, GDPR, and information governance requirements.
- Ability to work independently and as part of a multidisciplinary team.
- Knowledge of NHS contracts, QOF, and CQC requirements.
- Experience in HR processes including recruitment and staff support.
- Understanding of practice finance and reporting processes.
