An exciting opportunity has arisen for an experienced meeting and events co-ordinator, to join our busy team within the Estates & Facilities Directorate at the University of Wolverhampton Science Park. The key role is to take responsibility for the conference and room bookings, finalise details with the client, plan with other teams, oversee the event and issue invoices. 2 days of the role will be on the main reception 8-5pm.

Responsibilities

  • To work under the direction of the Facilities Hub Manager, to finalise confirmed booking details for meeting room requirements, catering, AV equipment at the Science Park, working within department deadlines.
  • To be responsible for ensuring the conference facilities are maintained to a high standard, professional meeting room layout, well presented catering and refreshment areas at all times.
  • To communicate and plan effectively with internal departments to ensure client services are provided to a high standard and service requirements are agreed with departments, ensuring the event details on the Kinetics database are accurate.
  • To assist the Facilities Hub Manager in conducting professional, accurate client show rounds at the Science Park, for the hire of meeting rooms and dining area.
  • To work on reception, to meet and greet visitors to the Science Park and carry out any administration duties as required.
  • You may be required to work on any Campus across the University.

Requirements

  • A sound knowledge of office administration and information systems is required, as is the ability to communicate effectively with a wide range of clients. IT literacy is desirable.
  • Attention to detail is key, to ensure all information is up to date and accurate, ensuring meeting room, accommodation and catering services are provided to a high standard at all times.
  • Ability to work on own initiative, reacting to last minute requests for customers and changes in service provision.
  • IT skills and be proficient in the use of word, excel, databases and other Microsoft packages.
