We are looking for an administrator to support events and activities for Engagement in the Faculty of Science and Engineering (FSE) Social Responsibility and Equality, Diversity, Inclusion and Accessibility Team. This is an exciting, varied role where you will help our staff and students share their research and studies with young people and other members of the public in order to make positive changes in our local communities.
About The Team
You’ll be based in FSE’s Social Responsibility & Equality, Diversity, Inclusion & Accessibility team (SR&EDIA) (currently five people). In addition to engagement, the team also works across environmental sustainability, EDIA and enabling impact.
About Engagement
We define engagement as activity by our staff and students to engage with people outside the University for reasons other than student recruitment or business engagement. This can be related to sharing the research knowledge of our academic colleagues, opening our doors to the local community or linking our students, researchers and academics with groups to showcase the richness and diversity of STEM subjects and careers. One of our key programmes is to make sure that anyone with the interest and aptitude to study science or engineering, ideally at The University of Manchester, has the opportunity to apply. This means working with young people (and also their teachers and parents) before they make subject choices that could limit their future study by bringing them onto campus and taking our people and information out to them.
About The Role
You’ll have a key role in making sure our events and activities run smoothly. This will include, but is not limited to:
- creating and distributing publicity materials;
- making and maintaining online booking forms;
- liaising with external partners e.g. teachers, to provide information on travel, timetables etc. and coordinating accessibility requests;
- scheduling and managing volunteers and student ambassadors (including organising their travel for off-campus events);
- ensuring risk assessments are completed;
- booking rooms, catering, parking, AV, etc.;
- ordering consumables or other equipment;
- creating and printing badges or lanyards;
- arranging for the setup of event spaces;
- providing support during the actual events;
- supporting monitoring and evaluation.
You’ll also provide day to day administrative support to the SR & EDIA team, including procurement and answering email queries from teachers and others. We are looking for someone enthusiastic, with strong communication skills; someone who is able to build positive working relationships with a variety of people, both inside and outside the University. You will need to be very organised with strong digital/IT skills, the ability to keep track of different projects and deadlines, a problem solver with a calm manner to deal with any unexpected issues.
Please note that you will occasionally be expected to work at events scheduled during the weekend, outside normal working hours, and/or in the school holidays.
