Apprenticeship context: The Central Staff Hub brings together HR Operations, Recruitment, Immigration Compliance, Payroll, and Pensions into one cohesive service. By aligning these key teams, the Hub creates a streamlined, joined-up approach that makes processes simpler, more efficient, and easier to navigate for both staff and managers.
The Immigration Team provides clear, practical advice and guidance to prospective recruits, current employees, and line managers. They help navigate the complexities of employing international staff, offering expert support on visa requirements and ensuring compliance with immigration regulations—making the journey smoother for everyone involved.
Apprenticeship summary: To learn to provide proactive administrative support in the Central Staff Hub, working as part of a team or on own initiative. You will have the ability to manage your work without needing to refer to others for most of your time. You will learn to carry out the administrative aspects of the University’s immigration processes for staff. This will include supporting the provision of advice to the University community in managing compliance with sponsor duties, supporting the development of systems and processes to enhance compliance and ensuring that appropriate documentation is obtained and effectively retained.
You will be able to develop a wide range of skills, both technical and administrative, and may also have the opportunity to lead on specific tasks within a team. During this apprenticeship you will learn the following duties:
- Act as a first point of contact to provide accurate and timely information and advice to internal and external customers and stakeholders on University processes and procedures relating to immigration compliance for staff, answering queries promptly, providing guidance, documentation and resolving queries from initial contact to resolution.
- Ensure that right to work checks are carried out and appropriate action taken within UKVI timeframes and guidelines.
- Regularly communicate relevant information to colleagues and external contacts.
- Provide administrative support for diary or event planning.
- Process data (which may be financial, HR, student-related or other), monitoring accuracy, inline with immigration policy, chasing up missing information, and escalating any issues as appropriate.
- Carry out finance reconciliation process for UKVI sponsorship costs and ensure monthly RBS payment card deadlines are met.
- Use a variety of complex University systems and processes to research, manipulate, analyse and interpret sets of data, and produce routine reports.
- Maintain working relationship with key stakeholders, fielding queries, receiving and dealing with any disputes or complaints and resolving promptly.
- Offer advice and support to others on staff immigration matters.
- Review processes and tasks and proactively offer suggestions for improvement and sharing best practice as appropriate.
- As required, provide a professional secretarial service to relevant committees and meetings.
- Treat everyone with dignity and respect in line with current equality legislation.
You will be expected to engage fully with the University of Birmingham apprenticeship scheme, attending mandatory group days and contributing to the successful promotion of the scheme by representing your department in a positive manner.

Required Knowledge, Skills, Qualifications, Experience:
- A good standard of literacy and numeracy as evidenced by GCSE Maths and English (or equivalent) grade 4 or above or equivalent level 2 qualification.
- Experience of Microsoft packages and able to learn new IT systems.
- Accuracy and attention to detail is essential.
- An ability to organise your own workload is required.
- Ability to work on your own initiative.
- Ability to proactively contribute to improving processes and for proposing new ways of working.
- Excellent communication skills, with the ability to communicate clearly and effectively with others.
- Well organised with the ability to prioritise work proactively, independently and as part of a team.
- A good understanding of how to deliver excellent customer service.
- The ability to cope with change in a fast moving, dynamic environment where change is often required immediately.
- Understands the importance of equality and diversity in the workplace.
- Ability to identify and respond to equality and diversity issues in line with relevant university policies and procedures relating to equality and diversity.
