At The University Health Centre we are dedicated to providing the highest standard of care, with approximately 14,000 patients. We are looking for an experienced receptionist to join our forward-thinking team. We are a large mainly student-based practice and have a variety of staff working here including GP's, ACP's, Nurses, Physio's & Pharmacists. We are also a training practice for GP registrars and medical students. We are part of the Tolson Primary Care Network and work together to provide a full range of enhanced services.
Main duties and responsibilities:
- Provide efficient administrative support services to all members of the practice team.
- Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
- Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
Job Responsibilities:
- Be familiar with the Practice computer system and be able to input data as required.
- Have working knowledge of the Practice telephone system and handle incoming and outgoing telephone calls in a polite and efficient manner.
- Ensure all messages are passed to the appropriate team member, and colleagues made aware of any action required.
- Registrations of new patients (have knowledge of practice area).
- Process patients' change of address in computer and medical records (have knowledge of practice area).
- Process appointment requests for today and future appointments from patients by telephone/triage and in person.

General Responsibilities:
- Be familiar with the Practice computer system and be able to input data as required.
- Have working knowledge of the Practice telephone system and handle incoming and outgoing telephone calls in a polite and efficient manner.

Administration:
- Have a thorough knowledge of all Practice policies and procedures.
- Ensure that all administrative work is carried out in a timely and competent manner.
- Photocopying, shredding, laminating and other administrative duties as required.
- Pulling/filing medical records.
- Carry out data input, ensuring that the recording of all relevant information into the patients' electronic medical record is accurate and concise.
- Create patient correspondence as appropriate from pre-defined templates.
- Summarising medical notes/records.
Reception:
- Provide an effective and efficient reception service, being able to cover all reception positions as necessary.
- Keep reception and patient areas tidy at all times.
- Process repeat prescription requests in accordance with practice guidelines.
- Handover to incoming staff patient information on any issues not yet completed.
- Registrations of new patients (have knowledge of practice area).
- Process patients' change of address in computer and medical records (have knowledge of practice area).
- Process appointment requests for today and future appointments from patients by telephone/triage and in person.
Person Specification:
- Experience of working in a GP surgery.
- Experience of working in primary care & using Emis web clinical system.
- Qualifications: Experience of working in a busy office environment.
- Knowledge of using Emis Web clinical system.
