We are currently seeking a proactive and detail‑driven Groups Coordinator to join our Central Reservations team within our award‑winning luxury hotel collection. Based in our London Central Offices, this role is responsible for managing all aspects of group reservations across our portfolio of six hotels in London, one property in Guernsey, and one in Edinburgh. From the initial enquiry stage through to confirmation, delivery, and post‑departure follow‑up, the Groups Coordinator will ensure a seamless and professional experience for both our guests and internal stakeholders.
Location: London Central Offices, 15 minute walk from London Victoria train/tube
Employment type: Full time, permanent
Working pattern: Monday – Friday, 9:30am–6:00pm

What you'll be doing:
- Managing group reservation enquiries from initial enquiry to confirmation.
- Preparing quotations and proposals, liaising with relevant contacts on rates, availability and booking requirements.
- Accurately recording all enquiries and bookings within Opera Cloud and associated tracking systems.
- Responding professionally and efficiently to telephone and email enquiries.
- Processing, selling, and confirming group reservations in line with company standards.
- Conducting regular follow‑ups to support conversion and maximise revenue opportunities.
- Generating contracts, pro‑forma invoices, and payment links and monitoring payments against agreed deadlines.
- Managing rooming lists and ensuring all group details are accurately updated across systems.
- Carrying out daily checks and arrival audits to ensure reservation accuracy and operational readiness.
- Communicating group arrangements clearly to hotel teams and maintaining strong product knowledge across the collection.
What we are looking for:
- Previous experience in reservations, reception or customer service within a hospitality environment (desirable but not essential).
- Exceptional communication skills and a confident telephone manner.
- A warm, professional, and guest‑focused approach.
- Excellent attention to detail and accuracy.
- Proficiency in Microsoft Office and hotel reservation systems (Opera Cloud, SynXis, or similar).
- Ability to multitask and prioritise in a fast‑paced environment.
- A collaborative team player who takes initiative and remains calm under pressure.
