We are seeking a proactive, detail-oriented, and motivated individual to join our London-based team as an Operations Executive. This is an exciting opportunity to become part of a dynamic operations team at the heart of the international travel industry.
- Provide day-to-day administrative support to Customer Relationship Managers (CRMs), ensuring smooth coordination of bookings and operational processes.
- Maintain accurate records and input detailed information into Travel Studio, including rooming lists, service bookings, and service amendments.
- Process cancellations and modifications of tours within Travel Studio.
- Manage communication and coordination with suppliers such as hotels, coach companies, guides, restaurants, and venues.
- Organise and process ferry and train bookings, carefully tracking cancellation deadlines.
- Assist CRMs with itinerary updates and system-related tasks, including troubleshooting in coordination with the Tech Team.
- Utilise Airtable to track tasks, manage operational workflows, and support internal reporting and data organisation.
- Deliver high-quality customer service across departments and partners.
- Maintain and update internal documentation and workflows.
- Support broader operational administration, including data entry, email management, system updates, and reporting tasks.
Fluent spoken and written English is essential. Proficiency in Cantonese or Mandarin is highly regarded. Knowledge of additional European languages is a strong asset. Previous experience in Tour / Event Operations is advantageous. Understanding of operational travel systems (e.g. Travel Studio) is beneficial. Experience with database-driven project management tools (e.g. Airtable) is integral. Quick learner and tech-savvy, with the ability to navigate diverse in-house software. Confident troubleshooting technical issues and liaising with IT teams. High proficiency in Microsoft Office Suite – Excel, Word, Outlook, Teams. A strong communicator with a positive, can-do attitude. Excellent organisational skills with exceptional attention to detail. Team player with a collaborative mindset and willingness to support colleagues. Ability to manage workload under pressure and meet tight deadlines. Flexible and adaptable with a strong sense of accountability.
Compensation - £27,000 pa. You’ll enjoy an annual travel credit, the flexibility to work from anywhere for two weeks each year, and two paid days off to volunteer for causes close to your heart.
