POSITION SUMMARY The main function of this position is to assist the Manager of Groups & Charters in the day-to-day planning and delivery of Groups & Charters at Uniworld. This individual will provide administrative, logistical, and operational support for Groups, Charters & Incentives. KEY RESPONSIBILITIES Supporting the coordination and operational delivery of group bookings, incentive travel, bespoke cruise experiences, and chartered sailings. Managing the Groups & Charters Mailbox and replying to inquiries and requests in a timely manner. Monitoring of TEAMs Channels, liaising with international sales offices for internal requests and updates. Assisting in the planning and coordination of any requested shore excursions, private or custom tours, entertainment, events and transfers for groups, charters and incentive groups. Coordinating with local vendors and tour operators for these requests, before sending proposals and quotes to client. Finalisation of groups/incentives/charter program and handing over to onboard teams for delivery. Continual tracking and updating of service delivery changes, client preferences, and onboard event details throughout the planning process. Maintaining of all relevant documents pertaining to Groups, Charters & Incentives. Coordinating of pre-cruise operational planning, including itinerary confirmations, program services briefings and manual entry of all additional and custom services into our systems utilising MarineXchange (MXP) Liaising with Cruise Managers, Hotel Managers, Corporate Directors and Management to hand over group requests, answering any inquiries and questions pertaining to groups charters and incentives. Assisting the Manager of Groups & Charters by providing administrative support including preparation of operational documentation, providing daily updates, answering invoicing queries, and gathering post-cruise feedback. Collaborating with the wider Program Services Team in program coordination, as and when required, including the participation in weekend or emergency duty rotation to support during high-volume periods. Assisting in project work and process improvements related to custom groups, incentives and charter cruise operations. COMPETENCIES Previous experience in travel coordination, group operations, or event planning—ideally within the cruise, tourism, or hospitality sector. A detail-oriented and proactive team player who thrives in a dynamic and multi-stakeholder environment. Strong interpersonal and communication skills, able to liaise effectively with internal departments, onboard staff, clients, and suppliers. At least 2 years of experience in a logistics, planning, or administrative coordination role. Strong knowledge of European travel destinations and cultural sensitivities is desirable. Highly organised with the ability to manage multiple priorities and work under pressure. Proficient in MS Office; experience with MarineXchange (MXP) or similar operational systems is preferred but not essential. Fluent in English, both written and spoken; knowledge of an additional European language (such as German, French, or Italian) is an asset.
