POSITION SUMMARY Key Responsibilities Pre-Season Prep: Ensure all required information for the TD On-Road Team is collected (Brand & Trip Preferences, Days between trips, Unavailable dates, Schengen visa dates). Support & manage the Admin Team with TD housekeeping by ensuring all documentation and collateral is up to date. Participate in the TD interview process and act as the point of contact for new TD applicants. Allocations: Allocate trips within your regions and process data into the system. Manage TD availability, abilities, preferred trips, and number of trips. Support: Maintain rapport between the On-Road TD team and office staff, and distribute issues/queries as required. Create a learning platform with modules to be completed pre-season, and assist throughout the season with briefs and debriefs. Complete end-of-trips reports and conduct mid to end-season personal reviews. On Road Issues: Analyze issues and communicate with TDs to find solutions. Follow up sensitively on supplier complaints. Contracts: Issue TD contracts and insurance documents. Additional Responsibilities: Proof brochure content and web text. Evaluate changes discussed with the Travel Experience Team at season-end meetings. Roll out online training modules. Present guides at TD meetings. Monitor performance and follow up on QC issues. Collaborate with the hotel contracting team to find optimal solutions. Liaise with TDs and authorize compensation if necessary. Ensure all information and communication with TDs are current. Update data regularly in TEAMS (Guest Document, Brochure Pages, Technical Itineraries, etc.). Assist the TD team with technical issues. Demonstrate excellent communication and collaboration skills, working closely with the Travel Experience Team, Contracting Team, European Guest Services, and Guest Support Teams. Utilize our house system Tropics. Participate in out-of-hours emergency phone rota to resolve issues during office closures. Experience Strong knowledge of Microsoft Office Suite. Attention to detail and ability to meet deadlines. Flexibility with working hours during busy periods. Based in London. Excellent spoken and written English; additional languages are a bonus.
