The successful candidate will take ownership of maintaining and improving the company's compliance processes, ensuring documentation is accurate, statutory obligations are tracked, audits are successfully coordinated, and senior management receives clear reporting on outstanding actions and risks.

We are looking for someone who can work independently, identify improvements and manage multiple responsibilities in a growing SME environment.

  • Maintain risk assessments, including COSHH, manual handling, machinery-related and workplace assessments.
  • Organise and document fire safety checks, fire drills, fire risk assessments and emergency procedures.
  • Maintain accident, incident and near-miss reporting records.
  • Coordinate RIDDOR reporting where applicable, with appropriate management oversight.
  • Organise statutory inspections, equipment testing and required safety training.
  • Maintain PPE, training and safety inspection records.
  • Liaise with external competent health and safety advisers where specialist expertise is required.
  • Work alongside the Factory & Warehouse Manager to promote safe working practices.

3. Environmental and Regulatory Compliance

  • Maintain a register of applicable regulatory and environmental obligations.
  • Assess and coordinate Plastic Packaging Tax and packaging Extended Producer Responsibility compliance.
  • Collect and maintain packaging weight, material, recycling and supplier evidence where relevant.
  • Coordinate required environmental and regulatory submissions with management, accountants and specialist advisers.
  • Maintain waste management and environmental documentation.
  • Monitor relevant regulatory changes affecting UK operations and international supply chains.
  • Support sustainability reporting and customer environmental enquiries.

4. GDPR and Data Protection

  • Coordinate the company's UK GDPR and data protection compliance arrangements.
  • Maintain privacy policies, data retention schedules and relevant processing records.
  • Coordinate data protection training and internal awareness.
  • Maintain appropriate data handling and security procedures.
  • Coordinate responses to information requests, incidents and data protection queries.
  • Liaise with external professional advisers where specialist advice is required.

5. General Business Administration

  • Maintain a central register of company insurance policies, certifications, renewals and recurring compliance obligations.
  • Coordinate insurance documentation, policy renewals and related correspondence.
  • Maintain employee training records, competency matrices and induction documentation.
  • Support employee onboarding and HR recordkeeping alongside the Office Manager.
  • Organise staff training, refresher courses and required qualifications.
  • Maintain relevant contractor and supplier compliance records.
  • Support the administration of company policies, procedures and official documentation.
  • Assist with other structured administrative projects assigned by senior management.

  • Experience of conducting or coordinating internal audits.
  • Good understanding of workplace health and safety administration.
  • Excellent organisational skills and attention to detail.
  • Strong written communication and document management skills.
  • Proficiency in Microsoft Office, particularly Excel and Word.
  • Confidence working independently and following matters through to completion.
