Scope and purpose of the role
This is an exciting and unique opportunity to join The Security Institute at an important phase of its growth and development. The Senior Events Officer is a vital role within The Security Institute team, reporting to the Finance & Operations Manager. The purpose of the role is to lead on the delivery of the events programme (in person and online) for the Security Institute. You will play an important role in shaping a dynamic events programme that meets the needs of our Members and other key stakeholders. You will work closely with the Institute's managers and officers to develop and deliver high quality events.
About you
You will be an ambitious and self-driven events professional, with a passion for delivering high quality events to a wide range of audiences. You will be agile, capable of absorbing key information quickly and efficiently and be confident in managing a wide ranging and fluctuating workload.
Main duties and responsibilities
- To lead on the design of a portfolio of high-quality cutting-edge events.
- To deliver a regular series of high-quality events throughout the country both in person and virtual.
- To support in the development of an annual events programme.
- To scan the external market to assess CPD opportunities for our members.
- To identify a range of venues and suitable event locations to enhance member/stakeholder engagement.
- To create a portfolio and source a wide range of venues in key locations.
- To work with the finance team to manage the events budget and work within finance parameters.
- To market our planned events and to monitor ticket purchases and sales and delegate data.
- To develop a detailed schedule for each event.
- To provide excellent customer service on reception, stand or other setting.
- To administer free places for attendance to SyI events.
- To complete post event admin including evaluation forms/member feedback and CPD Certificates.
- To liaise and collaborate with the Team to promote events to the membership, Group memberships and Corporate Partners through all of our mediums.
- To support in negotiating partnerships, sponsorship, and contra deals.
- To support Regional and Special Interest Groups listed on the Community Platform with events planning and marketing.
- To oversee our exhibition’s engagement approach ensuring that our stands are inviting and meet the needs of the delegates.
- To work in a collegiate way with colleagues.
- To assist in identifying potential venues, speakers or sponsors as required.
- To ensure that appropriate records are maintained in the correct system (CRM/SharePoint) in accordance with best practice.
- To ensure there is cohesive and aligned work with colleagues within the organisation.
- To prepare reports as required for the Chief Executive and/or Board of Directors.
- To comply with data protection legislation and act responsibly on matters of data disclosure both internally and to third parties.
- To build positive working relationships both with internal colleagues and externally with stakeholders.
- To represent the Institute in a professional manner and to act at all times in a manner which will not damage its reputation.
- To undertake any reasonable activities that may arise in support of colleagues and the Institute.
Essential Criteria:
- Experience of planning and managing in person and virtual events.
- Good written and verbal communication skills with the ambition to succeed.
- Experience of multi-channel marketing of events.
- Highly organised, with good attention to detail.
- Good project and time management skills and able to manage multiple projects.
- Strong relationship-building and networking skills, able to represent The Institute in a positive and professional way.
- Ability to work independently and as part of a team.
- Ability to work positively in a high performing team with a growth mindset.
- Highly competent in using the Microsoft Office 365 suite and CRM.
- Capacity and willingness to travel on occasion throughout the UK, including overnight stays.
- Evidence of the right to work in the UK.
Desirable
- Educated to degree level or professional qualification in event management.
- Experience of budget management.
- Experience organising training events.
