We are seeking a highly organized and detail-oriented Order Management Specialist to support the daily operations of our due diligence and order management teams. In this role, you will be responsible for administering and coordinating the full lifecycle of due diligence case orders—from initial screening to delivery tracking. You will also play a key role in managing client projects and providing administrative support to internal stakeholders. This position is ideal for a proactive and adaptable professional who thrives in a fast-paced environment and excels at juggling multiple priorities with precision.
Role and Responsibilities
- Review and screen incoming due diligence case orders to ensure completeness and accuracy prior to activation.
- Initiate and track research task orders, including bulk processing for high-volume cases.
- Coordinate closely with the due diligence delivery teams to manage task prioritization and monitor progress.
- Follow up with researchers to expedite outstanding tasks and resolve order or invoicing issues as needed.
- Collaborate with the Director of Operations, Regional Operations Manager and Partner Manager to ensure appropriate researcher coverage and support case delivery.
- Upload completed research outputs into the project tracking system and maintain accurate records.
- Compile monthly reports summarizing research task throughput and performance metrics.
- Provide general administrative support to the due diligence operations and client management teams as required.
Client Services
- Manage recurring client projects and deliverables as assigned.
- Support onboarding and implementation efforts under the direction of the Director of Operations.
- Participate in weekly client calls, assist with troubleshooting, and communicate clarifications related to due diligence.
- Perform other client-related administrative and project tasks as needed.
Qualifications, Skills & Education Requirements
- Bachelor’s degree in business, administration, or a related field.
- Exceptional written and verbal communication skills in English.
- Proficiency in additional languages is an asset but not required.
- Strong organizational and project management capabilities with acute attention to detail.
- Advanced proficiency in Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook.
- Ability to manage multiple tasks simultaneously while meeting deadlines and quality standards.
- Experience drafting professional correspondence and compiling clear, informative reports.
- Comfortable working independently in a fast-paced, dynamic environment.
