The Scottish National Investment Bank is seeking a highly organised and proactive Executive Assistant to provide comprehensive, high-quality support to our Chief Investment Officer (CIO). This is a pivotal role at the heart of the Bank’s Investment function, enabling the CIO to operate effectively across a complex, fast-paced and purpose-driven environment. You will play a key role in ensuring the smooth running of executive priorities, supporting governance activity, and contributing to the delivery of the Bank’s missions to drive sustainable and inclusive growth across Scotland.
As Executive Assistant to the CIO, you will act as a trusted partner, providing seamless support across diary management, stakeholder engagement, governance coordination and executive administration. You will operate with a high degree of autonomy, judgement and discretion, managing competing priorities while ensuring the CIO’s time is optimised and aligned to strategic objectives. This role offers exposure to senior stakeholders across the Bank and provides a unique opportunity to contribute to high-impact investment activity and decision-making.
Key Responsibilities- Executive Support & Diary Management: Proactively manage the CIO’s complex diary, ensuring effective prioritisation, forward planning and alignment to strategic priorities.
- Governance & Board Support: Support the CIO in fulfilling Board and Committee responsibilities, including coordination of papers, tracking actions and ensuring deadlines are met with a high level of accuracy and attention to detail.
- Stakeholder & Correspondence Management: Act as a key point of contact for internal and external stakeholders, managing communications, drafting responses and ensuring timely engagement.
- Inbox & Communication Oversight: Manage incoming communications, responding or delegating as appropriate, and ensuring priorities are effectively triaged.
- Planning & Reporting Support: Assist in developing and maintaining departmental action plans, reporting schedules and tracking progress against key deliverables.
- Travel & Expenses Management: Coordinate all travel and accommodation requirements in line with Bank policies, and manage associated expense processes.
- Administrative Excellence: Maintain robust systems for document management, filing and data handling, ensuring compliance with GDPR and internal policies.
- Regulatory Compliance: Operate in line with all relevant statutory, regulatory and policy requirements, including obligations under the FCA Conduct Rules and SM&CR.
You will be an experienced Executive Assistant with a proven ability to operate at senior level in a fast-paced and complex environment. You will bring:
- Demonstrable experience supporting senior executives, ideally at Board or Executive level
- Exceptional organisational skills with the ability to manage competing priorities effectively
- An attention to detail and a commitment to high-quality delivery
- Excellent interpersonal skills and the confidence to engage with senior stakeholders
- A proactive and solutions-focused approach, using initiative to move matters forward
- Experience handling sensitive and confidential information with discretion
- Sound working knowledge of Microsoft Office and administrative systems
- The ability to work independently while collaborating effectively across teams
- A customer service mindset and professional approach
