Remote | Flexible Hours (Full-Time or Part-Time)

Led by Dr Gina Schoeman, we provide personalised, evidence-based care in hormone health, longevity medicine and functional medicine to patients across the UK and internationally.

We’re looking for a warm, organised and proactive Administrative Patient Liaison Officer to become the heart of our patient experience. This is a remote role with flexible hours, ideal for someone with a background in healthcare who genuinely enjoys helping people feel looked after.

What you will do:

  • Serve as the first point of contact for new and existing patients — handling enquiries by phone, email and online with warmth and professionalism
  • Guide patients through onboarding, including registration forms, pre-consultation blood test coordination and appointment scheduling
  • Manage Dr Schoeman’s and the other doctors' clinical diary, booking initial and follow-up consultations (video and in-person)
  • Coordinate with external laboratories and diagnostic providers for blood work, genetic testing and specialist investigations
  • Prepare patient files and clinical summaries ahead of consultations
  • Follow up with patients post-consultation to ensure treatment plans, prescriptions and referrals are actioned smoothly
  • Handle prescription requests, supplement orders and liaise with pharmacies
  • Maintain accurate and confidential patient records in line with data protection and clinical governance standards
  • Support billing, invoicing and payment processing for consultations and treatment packages
  • Assist with general clinic administration, including email management, document preparation and filing
  • Help manage the clinic’s social media presence, respond to online reviews and support marketing communications where needed

Who You Are:

  • You have previous experience in a healthcare, clinical or medical administration setting
  • You deliver excellent customer service — patients feel reassured, heard and cared for after every interaction
  • You’re highly organised with strong attention to detail and can manage multiple priorities with ease
  • You communicate clearly and compassionately, both in writing and on the phone
  • You’re comfortable with digital tools — online booking systems, email platforms and basic CRM or patient management software
  • You handle sensitive and confidential information with the utmost discretion
  • You’re a self-starter who thrives working independently in a remote environment
