About the Role
Reporting to the Finance Manager, the Finance Assistant will support the organization’s financial operations by efficiently processing accounts payable transactions. This includes ensuring invoices are accurately recorded, payments are made on time, and all relevant documentation is maintained to uphold compliance and transparency. The role also involves collaborating with internal teams and external suppliers to resolve queries and contribute to a smooth workflow within the finance department.
Key Responsibilities
- Maintain accurate records on the charity’s accounting system.
- Process all purchase invoices and journals onto the accounting system in a timely manner in accordance with credit terms and ensuring appropriate authorisation has been obtained; liaise with suppliers on payment queries; initiate payments on banking system.
- Reconcile supplier statements.
- Process grants and other payments through the Grant Management database.
- Process staff, trustee and volunteer expenses, ensuring appropriate authorisation has been obtained.
- Manage petty cash system in accordance with appropriate financial controls.
- Monthly payment and reconciliation of corporate credit cards.
- Bank cash and cheques on a regular basis.
- Create new Residents on the accounting system.
- Manage new Resident Direct Debit forms.
- Raise sales invoices for Resident Sundry expenses.
- Provide cover for Payroll.
- Perform any other tasks that may arise that fall in line with the role.
What We Are Looking For
- Fully competent in MS Office, including Word, Excel and Outlook.
- Solid experience working within a busy finance team.
- Experience in computerised accounting packages (Xledger etc).
- Good numeracy skills with a high attention to detail.
- Appreciation of importance of confidentiality and sensitivity in dealing with beneficiaries and staff.
- Experience dealing with customers and suppliers, both internally and externally.
- Excellent time management skills and an ability to work unsupervised and prioritise own work effectively.
- Excellent people skills and ability to communicate effectively across The RNBT.
- Flexibility and willingness to contribute to the success of the wider team.
