This is a varied and responsible position providing operational and administrative support to the Facilities Management team across two buildings. The Facilities Coordinator plays a key role in ensuring the two properties are well maintained, compliant, and presented to a high standard, while delivering excellent customer service to occupiers and stakeholders.
The role combines hands-on site support with administrative coordination, requiring a proactive, organised, and detail-oriented individual who can manage competing priorities and build strong working relationships.
About the Buildings
- The Heal's Building: 196 Tottenham Court Road, London, W1T 7LQ. The Heal's Building is a collection of 11 buildings constructed over the last 160 years. Consisting of 19 occupiers including the iconic Heal's store who originally occupied the entire building. The building measures approximately 183,000 sq.ft.
- Home Park Estate: Station Road, Kings Langley, WD4 8LZ. Home Park Estate consists of two buildings totaling approximately 98,000 sq.ft. Imagination House is let on an FRI lease, whilst The Dock is a multi-let building. The Dock is approximately 45% occupied and was refurbished in 2021.
Working pattern: Three days per week based at The Heal's Building and two days per week based at Home Park Estate.
Day-to-Day Responsibilities:
- Support the day-to-day management of site operations
- Ensure site presentation is maintained
- Undertake property inspections
- Log reactive maintenance jobs and health & safety issues
- Administer the Facilities Management helpdesk system (where in place)
- Coordinate contractor access and permits to work
- Request and maintain contractor documentation (H&S, compliance records)
- Assist in maintaining disaster recovery plans, building manuals, and compliance records
- Raise purchase orders and work orders; process supplier invoices
- Obtain quotes and support tender processes
- Assist with service charge budgets and expenditure tracking
- Prepare agendas, take minutes, and circulate meeting documentation
- Act as a key contact for tenant queries and service requests
What We Expect of You:
- Experience in a facilities coordination or similar administrative role
- Strong organisational skills and ability to prioritise workload
- Professional and proactive approach
- High level of attention to detail
- Ability to work independently and collaboratively
- IT literate with strong Microsoft Office skills
- Experience with helpdesk systems and facilities processes (desirable)
- Knowledge of health & safety procedures (desirable)
- First Aid at Work qualification (preferred)
