We are seeking a highly organised, proactive, and hospitality-driven Office Manager to oversee the day-to-day operations of a dynamic office environment housing multiple apparel, footwear, and accessory brands.
This role is central to ensuring a seamless workplace experience, supporting frequent client visits, showroom presentations, and high-volume lunch meetings.
- Main Responsibilities
- Manage the day-to-day operations of the office, ensuring facilities, meeting rooms, showrooms, office supplies, equipment and amenities are maintained to a high standard while liaising with landlords, building management, vendors and service providers.
- Oversee office administration, including courier services, security and tracking systems, supplier accounts, utilities, software, office expenses, budgets, reimbursements, health & safety compliance, and office policies and procedures.
- Establish and continuously improve office systems, workflows and IT infrastructure to support efficient business operations.
- Coordinate meeting room and showroom bookings, preparing spaces for internal meetings, client presentations, seasonal launches and brand showcases, ensuring rooms are presentation-ready before and after use.
- Deliver a first-class hospitality experience by coordinating catering, managing food and refreshment budgets, supporting showroom events, press days, brand activations and GTM logistics.
- Act as the first point of contact for visitors, clients and partners, maintaining a professional reception area, managing visitor check-in procedures and ensuring reception cover is always available.
- Provide administrative and logistical support to the CEO, Senior Leadership Team and brand teams, including travel arrangements for remote leaders and office-related administration.
- Work collaboratively with multiple brand teams to understand operational requirements, support employee engagement initiatives, onboard new starters with workspace setup and orientation, and help source London accommodation for remote team members.
- Manage sample postage, coordinate shipping requirements and maintain effective communication with internal teams to support smooth day-to-day operations.
Person Specifications
- Previous experience as an Office Manager, Workplace Manager, or similar role in a fast-paced environment
- Experience in fashion, retail, showroom, or multi-brand environments preferred
- Strong organisational and multitasking skills with high attention to detail
- Excellent communication and interpersonal skills
- A hospitality-focused mindset with a proactive, solutions-oriented approach
- Ability to manage multiple stakeholders and prioritise effectively
- Proficiency in office management tools and Microsoft Office / Google Workspace
