We are looking for an organised, proactive and detail-oriented Operations & Logistics Coordinator to join a fast pace, growing dog accessories business that supply product to the UK high street and supermarkets.
This is a part-time role of 20 hours per week, worked over five days, with the successful candidate ideally based in their Central London office each day.
This role is responsible for ensuring products move efficiently from supplier to customers while maintaining excellent customer service and accurate operational processes.
The successful candidate will oversee logistics, inventory management, customer invoicing and order fulfilment, ensuring every customer receives their order on time and in perfect condition.
Key Responsibilities
- Management of margin spreadsheets, collating info & presenting findings
- Coordinate all inbound and outbound deliveries.
- Manage shipping documentation, customs paperwork and import duty processes.
- Liaise with customers, freight forwarders, couriers and customs agents to ensure smooth import and delivery of goods.
- Monitor stock levels and maintain accurate inventory records, proposing re-ordering, checking for stock losses & proactively working out the problem & presenting solutions
- Process customer / factory orders accurately and efficiently.
- Prepare and issue customer invoices.
- Track orders from dispatch through to successful delivery.
- Ensure customers receive their products on time and resolve any delivery issues promptly.
- Identify opportunities to improve operational efficiency and customer experience.
- Assist with purchasing and supplier order management.
- Coordinate warehouse and storage requirements.
- Monitor courier performance and negotiate service improvements where appropriate.
- Assist with demand planning and replenishment.
- Support finance with invoice reconciliation and payment queries.
- Help maintain operational procedures and documentation.
- Provide administrative support to the wider business as required.
Person Specification
- Experience in retail margins, operations, supply chain and admin
- Knowledge of import/export procedures and customs documentation is desirable.
- Strong organisational skills with excellent attention to detail.
- Experience with inventory or stock management systems.
- Confident using AI, Microsoft Excel pivot tables and Xero Finance package.
- Ability to prioritise multiple tasks and meet deadlines.
- Highly organised and reliable.
- Positive, adaptable and willing to take ownership.
- Comfortable working in a fast-paced, growing business.
- Strong team player with the ability to work independently.
