We are working on behalf of our award-winning client which ranks in the top 50 companies within their industry sector in the UK. Due to their continued expansion, they are seeking to recruit an experienced Fleet Administrator. As a Fleet Administrator you will play a pivotal part supporting purchasing, supplier management and contract administration for products and services. The role covers administration across the vehicle lifecycle and associated contract documents, together with supporting the procurement of vehicles and fleet services at the best possible value in terms of price and service. You will also help maintain purchasing terms and discounts within company quoting systems and support all aspects of vehicle ordering and delivery. The successful candidate will ideally have experience in vehicle leasing or experience working for a vehicle manufacturer or dealership. This is an office based role in Shirley Solihull, working full time Monday to Friday 9am until 5pm.

Role and responsibilities:

  • Acting as key operational and administrative support to all aspects of purchasing, supplier management and contract administration.
  • Responsible for building, developing and managing excellent business relationships with manufacturers, suppliers, customers and funders.
  • Support procurement activity to achieve the best possible value across vehicle and fleet-service purchasing.
  • Monitor supplier performance and participate in supplier review meetings.
  • Assist with tenders for the supply of fleet services.
  • Progress vehicle orders through to delivery and provide regular estimated delivery date updates to all interested parties.
  • Keep up to date with EV grants and ensure vehicle eligibility is correctly reflected within quote platforms.
  • Build and maintain strong dealer relationships to secure competitive discounts and high service levels.
  • Manage manufacturer and other purchasing discounts, ensuring terms are accurately reflected and tested in quoting systems and updated for new model years.
  • Build relationships with vehicle manufacturers to secure the best available pricing and ensure batch deals and manufacturer offers are made available to the business.
  • Ensure all data and administration records are correctly processed and up to date in adherence to compliance procedures.
  • Daily use of internal CRMs and Microsoft packages such as Excel.
  • General administrative duties as required to support the team.

Skills and experience required:

  • Proven demonstrable work history as Fleet Administrator, Sales Administrator, Purchasing Administrator or Admin Coordinator role.
  • Experience in working within fleet management, motor trade or dealership is advantageous.
  • Excellent communication skills both written and verbal.
  • Strong eye for detail to accurately process data and contracts.
  • Confident and customer focused nature.
  • A team player with a flexible approach to support colleagues.
  • Ability to negotiate effectively at all levels.
  • Skilled at building strong, lasting relationships with suppliers, manufacturers and dealers.
