About the Opportunity

We are supporting a public sector organisation with the appointment of a Parts Advisor & Service Receptionist to join its fleet maintenance operation. This is an exciting opportunity to play a key role in supporting a large fleet of operational and specialist vehicles that directly support frontline emergency and public services. Working within a busy workshop environment, you will be responsible for sourcing and managing vehicle parts, maintaining stock levels, coordinating supplier relationships, and providing a professional reception service to workshop customers and stakeholders. The successful candidate will contribute directly to vehicle availability and operational readiness, ensuring that critical frontline assets remain maintained, serviced, and ready for deployment.

Key Responsibilities

  • Parts Management & Procurement
    • Source and order vehicle parts, components, and specialist equipment to support workshop maintenance activities.
    • Utilise parts catalogues, supplier systems, and procurement platforms to identify and obtain the correct components.
    • Raise purchase orders and manage goods receipt processes in accordance with organisational procedures.
    • Monitor stock levels and maintain appropriate inventory levels for high-usage items.
    • Manage supplier returns, warranties, and stock reconciliation activities.
    • Conduct regular stock counts and inventory audits.
  • Workshop Reception
    • Act as the first point of contact for workshop suppliers and internal stakeholders.
    • Manage workshop enquiries and service requests.
    • Coordinate vehicle bookings and support workshop scheduling activities.
    • Provide updates regarding vehicle repairs, parts availability, and service progress.
    • Deliver a professional and customer-focused reception service.
  • Operational Support
    • Receive and process deliveries, ensuring parts are accurately recorded and allocated.
    • Assist with workshop administration and documentation.

Candidate Requirements

  • Essential
    • Previous experience within an automotive parts, fleet, workshop, dealership, service reception, or stores environment.
    • Good understanding of vehicle mechanical systems and automotive components.
    • Experience managing stock, inventory, purchasing, or procurement activities.
    • Strong administrative and organisational skills.
    • Excellent communication and customer service abilities.
    • Proficient in Microsoft Office and computer-based systems.
    • Ability to prioritise workload and work effectively under pressure.
    • Full UK Driving Licence.
  • Desirable
    • Experience working within fleet maintenance, commercial vehicles, local authority, emergency services, transport, or public sector environments.
    • Knowledge of parts management systems and electronic parts catalogues.
    • Understanding of procurement procedures and supplier management.
    • Aware of workshop health and safety regulations, including COSHH, LOLER, and PUWER.
