Location: Magowan Building, Portadown (Hybrid available)
Hours: 37.5 hours per week (Mon-Fri)
Working Pattern: 08:30-16:30 or 09:00-17:00 (rota)
Rate of Pay: £12.75 per hour
We are seeking a highly organised and motivated Band 3 Nurse Bank Administrator to provide vital administrative support within the Nurse Bank Office. This role plays a key part in ensuring the smooth running of daily operations, supporting training coordination, onboarding new bank staff, maintaining accurate records, and contributing to the weekly payroll process. Hybrid working is available, offering a balance between working from home and onsite.
Key Responsibilities- Bank Office Administration
- Provide robust and efficient administrative support to ensure timely short‑term staffing cover across the Trust.
- Adhere to Bank and Agency protocols to ensure processes are followed correctly.
- Update the Trust's Bank Staff system, matching service needs to staff availability by staff group and banding.
- Maintain accurate electronic and manual records for training, staffing, and daily operations.
- Run reports from the Bank Staff system to support governance requirements.
- Review NMC registration & revalidation information to ensure compliance for registered staff.
- Schedule, record and report on mandatory and role‑specific training for bank staff.
- Support regular system cleansing to remove inactive staff.
- Process new starters: ensure mandatory training completion, accurate record entry, ID verification and uniform issue.
- Support the Bank Co‑ordinator with weekly payroll processing to meet submission deadlines.
- Handle inbound calls and participate in shift‑filling duties to ensure wards are staffed in a timely manner.
- Assist with administration of Working Time Regulations for Bank & Agency staff.
- Engage with candidates and managers to support onboarding and general queries.
- Deal with enquiries from bank staff, managers, payroll, external agencies and the public, escalating complex matters as required.
- Maintain strong communication with clinical, nursing, administrative and HROD teams.
- Prioritise workload effectively to meet agreed performance standards.
- Contribute to ongoing improvements in processes, quality and service delivery.
- Support training and induction of new staff.
- Undertake delegated tasks or projects as required by the Head of Resourcing.
Applicants must meet one of the following qualification/experience routes:
- Route A: 4 GCSEs (Grades A-C) including English Language (or equivalent/higher qualification) AND 1 year's clerical/administrative experience
- Route B: NVQ Level 2 in Administration (or equivalent) AND 1 year's clerical/administrative experience
- Route C: 2 years' clerical/administrative experience
PLUS: Experience using Microsoft Office, including Word, Excel and Outlook (or equivalent)
