About the Role
We are seeking an organised and proactive
Higher Clerical Officer to provide comprehensive administrative support within the Children & Families Directorate.
The successful candidate will play a key role in supporting the creation of a Trust-wide waiting list within Family & Child Care services and ensuring the smooth day-to-day running of the department.
Key Responsibilities
- Provide high-quality administrative and clerical support.
- Arrange meetings, manage diaries, book venues and take minutes.
- Handle correspondence, telephone enquiries and mail distribution.
- Prepare letters, reports, presentations and meeting documentation.
- Use Microsoft Office applications including Word, Excel, Outlook and Power Point.
- Maintain filing systems and departmental records.
- Produce statistical information and administrative reports.
- Monitor stationery supplies and process requisitions.
- Update and search client information databases (PARIS/SOSCARE).
- Maintain confidentiality and communicate effectively with internal and external stakeholders.
Qualifications & Experience
Applicants must meet one of the following
5 GCSEs (Grade AβC) including English Language (or equivalent/higher qualification) and at least
- 1 year's administrative/clerical experience ; or
- NVQ Level 2 in Business Administration
- (or equivalent) and at least
- 1 year's administrative/clerical experience ; or
3 years' administrative/clerical experience .
Skills & Abilities
- Ability to work independently and use initiative.
- Strong organisational and time management skills.
- Ability to maintain confidentiality and handle sensitive information.
- Experience using Microsoft Office (Word, Excel, Outlook and Power Point).
- Experience arranging meetings and taking accurate minutes.
- Experience using the
PARIS system.
