About the Role
An excellent opportunity has arisen for an Administrative & Clerical Officer within the Partial Booking Office Department . The successful candidate will provide high-quality administrative support, ensuring the efficient management of patient information, appointments, communications, and office processes within a busy healthcare environment.
Key Responsibilities
- Maintain and update patient information on electronic systems including Epic and PAS.
- Book and schedule patient appointments and admissions in line with clinical priorities and waiting list protocols.
- Scan, upload and manage documents and electronic records.
- Produce reports, undertake word processing tasks, and maintain accurate databases.
- Monitor work queues and ensure patient data accuracy.
- Support audits and patient information checks.
- Assist with training and induction of new staff members.
- Maintain electronic and manual filing systems.
- Handle enquiries from patients, staff and external stakeholders, providing information and guidance within agreed procedures.
- Manage diaries, appointments, incoming mail and emails.
- Liaise effectively with clinical, nursing and administrative teams across departments.
- Support team leaders with workload allocation and supervision of staff where required.
- Arrange meetings and take minutes.
- Prepare statistical information, including waiting time reports.
- Carry out general office duties such as filing, photocopying and scanning.
- Participate in team meetings, training, quality improvement initiatives and service development projects.
- Ensure compliance with Trust policies, procedures and confidentiality requirements.
Essential Criteria
Applicants must meet one of the following:
- 4 GCSEs (Grades A-C) including English Language (or equivalent qualification) plus 1 year's administrative/clerical experience .
OR
- NVQ Level 2 in Administration (or equivalent qualification) plus 1 year's administrative/clerical experience .
OR
- 2 years' administrative/clerical experience .
In addition, applicants must have:
- At least 1 year's word processing experience .
- Experience using Microsoft Word, Excel and Outlook .
