We are currently recruiting an EO2 for our client based in Stormont. The successful candidates will be required to start once the vetting paperwork and ANI completed. Start date: ASAP Rate of pay: £15.83PH Hours of work: 37 9-5 Monday to Friday with Flexi Key Responsibilities: PROGRAMME MANAGEMENT • Provide secretariat support for the EVAWG Oversight Board, Programme Board and other groups as required. Includes managing meeting invites and issuing papers. • Manage and collate returns from other departments and ALBs. • Assist in managing governance documents and trackers. • Provide administrative support for Gateway Reviews. • Provide Financial Management functions as required. BRANCH RETURNS • Monitor the generic mailbox and ensure departmental returns are issued to relevant recipients and that responses are received by deadline. Collate information and forward for approval when necessary. Request and provide data to assist in returns preparation. Monitor, CM and log relevant returns, ensuring branch correspondence tracker is promptly updated. • Perform initial checks on branch returns to ensure accuracy of information prior to approval ensuring responses are provided within agreed timescales. Identify any queries and resolve as necessary and then forward to approving officer. • Bring to the attention of line manager any problems which are unable to be resolved at EO2 level. • Oversee the completion of branch returns to ensure they are completed in line with branch procedures and timescales. ADMINISTRATIVE SUPPORT • Provide administrative support to the team, ensuring a high quality service. • Responsibility for the update and maintenance of Team Operating Procedures manual. • As CM Power User, or in support of the Power User, assist with maintaining the branch CM file plan, request new containers, ensure correct naming protocols, identifying misfiled documents and duplicates and correcting them, or seeking advice/steer on how best to correct errors. • Organise and manage the administrative support to Branch for meetings, ensuring the effective, efficient preparation of required papers and ensuring that all practical arrangements are in place and approved. • To keep the EVAWG shared calendar updated with relevant information to ensure the smooth functioning of our business area. • Responding to enquiries as required or directing calls if necessary to relevant member of staff and monitoring team e-mail account. • To attend and minute meetings as and when requested to do so. • To undertake research to support senior branch management as requested. • Any other ad-hoc duties as required by line/senior management. MINISTERIAL SUPPORT • Assist in the process for dealing with SUBs/ CORs/ INV/ Briefing and AQs. Oversee and ensure that Ministerial correspondence is allocated in a timely manner to the appropriate member of the EVAWG Team and that responses are issued in accordance with Private Office /Assembly Section deadlines. CM and issue responses, on the SO’s instructions in accordance with PO / Assembly Section deadlines. • Ensure that the Branch Correspondence tracker and other tables associated with ministerial business are accurately updated and maintained. • Assist with provision of Hansard Transcripts of Oral AQs and witness sessions at Committee to relevant staff in team, when requested. • Confirm accuracy of financial information from Cognos and budget spreadsheet when required, for input to assist in drafting ministerial responses. • Prepare input to the initial draft for Assembly Questions when required to support colleagues. Essential Criteria applicants must have: 5 GCSE’s including Maths and English & 2 A Levels (Proof of certs required) Excellent IT skills, including use of Microsoft Word and Excel.
