We're hiring a Finance & Operations Administrator to own the day-to-day financial engine at The Rec Hub. This isn't a support role sitting in the background. You'll be running the transactional heartbeat of the business — invoicing, payroll, contracts, expenses, employee records — and making sure nothing slips. It's part finance admin, part ops discipline, part process improver. You'll be precise when it matters (always), but your real value is in keeping everything moving accurately and consistently, without being chased.
What You'll Do
- Process supplier invoices, manage payment runs, and keep Xero accurate
- Lead payroll preparation — collating data, liaising with our external provider, resolving discrepancies before they become problems
- Run the expense and reimbursement process, with proper audit trails
- Draft standard contracts using approved templates and manage the lifecycle through to execution
- Maintain a contracts register tracking status, key dates, and renewals
- Support month-end with reconciliations and basic financial data outputs
- Keep employee records current and support the people function day-to-day
- Spot process inefficiencies and fix them — not just flag them
What You Bring
- Solid experience in financial administration — invoicing, payroll support, reconciliations
- Comfortable working in Xero or similar accounting software
