As a Legal PA, you will play a key role in supporting a busy and high-performing team of fee earners, providing proactive day-to-day administrative and organisational support to ensure the delivery of an exceptional client service. Working closely with colleagues across the team, you will help manage workflows, coordinate priorities and contribute to the smooth running of the practice. Key responsibilities include:

  • Liaise with Clients: dealing with ongoing matters, queries and correspondence.
  • Provide fee earners with the support they need to perform the task of providing legal services to clients.
  • Contribute to fee earners' financial performance by proactively working with them to manage their matters in a timely manner.
  • Undertake all matter management processes.
  • Conflict checks and Client Due Diligence processes.
  • Accurately completing the end-to-end Client Matter Inception (CMI) process and ensuring the preparation, completion and return of client onboarding documents.
  • Finance administration, including invoicing and billing in line with the relevant timescales, and ensuring client correspondence on billing.
  • Assist with transcribing and/or proofreading of legal/contractual documents and, where appropriate, drafting of documents.
  • Identifying matters for closure and archiving completed files.
  • Post-meeting triage of data for delivery into workflow.
  • Adhere to firmwide and divisional Best Practice protocols.
  • Adhere to the firm's risk and compliance policies and procedures.
  • Manage fee earners’ diaries and organise meetings/appointments, alongside any other duties in support of the client-fee earner relationship.
  • Undertake additional ad hoc duties to support Fee Earners and the wider PL&T team as required.
  • Update the case-management system with file allocations, diary records and general activity to ensure accurate recording of activity and allow progress tracking.
  • Maintaining the accuracy of the Client's KYC record via the firm’s systems and processes.
  • Maintaining procedures/administrative systems.
  • Ensure support of OLA/SLA targets throughout the workflow process.
  • Resolving incoming email, faxes and post.
  • Support in the creation of MI data.
  • Support in the auditing of internal processing/mapping.

  • Experience of working in a legal conveyancing environment (essential).
  • Experience of using a Claims/Case Management system (desirable).
  • Experience in using Client Management Systems (Peppermint) (desirable).
  • Good communication skills.
  • Proficient in MS Office (notably Excel, Word and Outlook).
  • Exceptional organisational skills with high levels of attention to detail.
  • The ability to work under pressure and to strict deadlines.
  • To be able to manage own workloads and use own initiative.
  • Excellent interpersonal skills and client care skills.
  • Discretion and an understanding of confidentiality issues.
