Job title: Studio Receptionist and Administrator

Reports to: Head of Production

Summary: This role is front of house at The Factory Studios. Sitting in reception, you will be the first point of contact for all people arriving and departing, ensuring the studio is a warm and welcoming environment. This role will suit a highly organised individual who loves meeting new people and wants to become part of a friendly and professional team.

Hours of work are Monday – Friday 8.00 am to 4.30 pm

Key Responsibilities

Reception Duties:

· Meet and greet all clients, shoot teams and VIPs, providing a high level of service and hospitality.

· Ensure the reception and communal areas are welcoming and tidy.

· Ensure all arrivals and departures are signed in on the Studio App and direct them to the relevant studio.

· Answer incoming phone calls in a timely and polite manner, answering queries, forwarding calls or taking accurate messages.

· Managing post and courier deliveries in and out of the Studio.

· Manage office supplies and office printers, maintaining paper and ink stock.

· Manage control of camera kit, booking in and out, and keep batteries charged.

· Manage purchases and issuing of hard drives to shoots as directed.

· Assisting the Production team as required, including prop booking, collection and deliveries.

· Keep Health and Safety and other company documentation filed and up to date.

· Perform tasks for the Global Head of Operations as may be required.

· Build positive relationships with clients and visitors, be warm personable and polite, and make visitors feel welcome.

· Computer literate and able to use Microsoft Word, Excel and MS Office.

· Use initiative and be proactive in everything you do.

· Must be flexible and able to prioritise an ever-changing to-do list.

· Super organized with good attention to detail.

· Self-motivated; willing to initiate tasks and perform duties without direction.

· Must have excellent verbal and written communication skills.

· Be an excellent team player, willing to jump in and help with any tasks as they arise.

· Must have flexibility with work hours; able to work weekends and early or later shifts if occasionally needed.

· A full clean driving licence with a willingness to drive the studio car for occasional collections or deliveries would be desirable.

· Ability to demonstrate relevant experience in a similar role would be desirable.
