We’re looking for a talented and operationally driven in-house Post Production Coordinator to join The Podcast Guys®. This is a hands-on role at the heart of a fast-evolving industry, where podcasts and video podcasts are continuously redefining how stories are told and experienced. You’ll play a key role in the day-to-day running of the post-production team, supporting briefs from producers and clients while assigning resources across BAU and ad-hoc work. Working closely with editors, producers & the COO, you’ll also help with the implementation and ongoing adherence to company best practices across all post production workflows, project & data management tools. This is the perfect role for someone who loves organisation and can adapt to changing priorities. You’ll have exceptional attention to detail and excellent problem-solving skills.
While podcasts are our core, our work often extends far beyond the sit down conversation. As a trusted content partner to our clients, we film globally across a wide range of environments—from scientific labs to cinema roundtables, to capturing stories on the ground at New York’s Climate Week. No two projects are ever the same. From polished video podcasts and audio-first podcasts for platforms like Spotify and Apple Podcasts, to fast-turnaround social clips and live event coverage, you’ll be responsible for helping producers and editors deliver content that is engaging, agile, and aligned with brand goals.
Key Responsibilities- Pipeline Management: Triage briefs and requests by producers & clients, assign editors and communicate bookings to all stakeholders.
- Freelancer Management: Flag the need for freelancers with the COO and organise bookings of freelance staff when required.
- Workflow Management: Oversee the smooth day to day running of the post production team: ensuring editors meet daily goals and help producers meet delivery deadlines.
- Maintain Best Practices: Update best practice guidelines, creating ‘How To Guides,’ work with editors to update BAU templates, ensure adherence to project management best practices on Click-Up, flag any issues with relevant parties.
- Asset & Vendor Coordination: Liaise with post-production staff, third-party vendors and clients to manage the supply of all necessary audio and video assets for editing and delivery.
- Assist with DIT: Liaise with videographers and editors to make sure files are backed up to Lucid Link & secondary storage post shoot.
- Create video proxies: Assist with the creation of proxies for editors, making sure all DIT work is completed prior to editing starting.
- Quality Control (QC): Assist producers with QC overflow to ensure assets are delivered on time and on brand to clients.
- Light Editing Tasks: Assist the team with subtitle amendments, end board updates, transcript creation and exporting final deliverables.
- Mastering & Archiving: Confirm strict adherence to mastering and archiving protocols such as file naming conventions, folder structures on frame & lucid link and initiate the moving of projects from primary storage to archive storage.
- Storage & Hard Drive Management: Supply SSDs for all shoots and keep a tracker of all SSD’s distributed across the edit team.
- Create Reports & Project Washups: Create resource & project management reports for COO and book and run project washups with team members, sharing learnings with the wider team.
- Experience working as a Post Coordinator (or equivalent) in-house or agency.
- Experience using project & resource management tools such as Float & ClickUp.
- Experience managing freelancer bookings.
- Proven post production knowledge in the effective set-up and operational delivery of a range of video and audio assets (video & audio podcasts, social content & more).
- Good working knowledge of a range of video production technologies (e.g. Canon, Sony, Panasonic Cameras, Podcast Sound Recordings) and DIT workflows.
- Good working knowledge and understanding of Adobe Creative Cloud, Lucid Link, Frame IO and asset management workflows.
- Confidence to manage upwards effectively and communicate with the wider production team, drawing on a range of strategies to persuade and influence.
- High level of integrity, particularly when dealing with confidential & sensitive issues.
- Be proactive and solutions-focussed, showing sensitivity to the needs and pressures of colleagues & clients.
- Light editing experience, comfortable making subtitle, end board & title changes and re-exporting for final delivery to clients.
- Highly organised with exceptional attention to detail and a can-do attitude.
- A strong communicator, capable of working collaboratively with clients and internal teams.
