The predicted salary is between 30000 - 42000 £ per year.

We are looking for an Administrator, ideally with experience of working within General Practice. You will need to be a great team player, working alongside an established team in a village practice. You will need to demonstrate exceptional customer service skills for our patients. You will also need to be able to prioritise a large work volume and be adaptable and flexible. We are looking for someone who is self-motivated and reliable who can complement our existing team.

Main duties of the job

  • Ensure high quality patient experience and satisfaction, meeting deadlines and following protocols.
  • Manage daily workflow and incoming post and prioritise accordingly.
  • Manage email inbox and distribute to relevant recipients.
  • Take patient enquiries and action accordingly, with appropriate follow ups.
  • Action 2 week wait referrals and meet 18 week referral timeframe.
  • Work safely in accordance with Practice Policy and Procedures.
  • Scanning and coding of patient letters.
  • Typing letters and choose and book/referrals.
  • Involvement in data collection, quality improvement and audit.
  • Involvement in team meetings.
  • Ensure correspondence is dealt with in a correct and timely manner.
  • Comply with Data Protection and GDPR.
  • Use of SystmOne clinical system.
  • Actioning of tasks received on a daily basis.
  • Experience of processing Medical Reports and Subject Access Requests would be desirable, although not essential.
  • Undertake any other additional duties appropriate to the post as requested by the Partners or the Practice Manager.

The Parks Medical Practice cares for over 22,000 patients in South Northants, with Blisworth being a rural dispensing practice, representing 1 of 4 branch sites. We are part of Parkwood PCN, a GP partner led PCN, representing over 36,000 patients, with 6 GP partners supported by a team of managers and a well-established clinical team. We are a training and research academy.

Job responsibilities

  • Deliver high quality customer service for our patients, visitors and internal staff.
  • Provide sensitive and empathetic communication.
  • Accurately enter and maintain patient information within our clinical system, SystmOne.
  • Manage incoming and outgoing correspondence; prepare letters and reports, maintain organised records.
  • Undertake general clerical tasks, manage office procedures and support the daily running of the practice.
  • Offer flexibility to help colleagues during busy times and absences.
  • Maintain confidentiality and follow practice protocols and procedures.
  • Actively participate within team meetings and enthusiastically review process improvements and put forward ideas.
  • Manage a busy work volume, adapting to different priorities and demands on your time.

Person Specification

  • Qualifications: Qualified to GCSE Level 4 - 9.
  • Experience: Experience of working within an administrative setting.
  • The ability to demonstrate working under high pressure workloads and flexibility to adjust work priorities to support the team.
  • Experience of working within the NHS.
  • An understanding of NHS referral processes.
  • The ability to demonstrate providing high customer service levels.
  • Experience of working within a GP Practice.
  • Experience of SystmOne.
  • Experience of processing Medical Reports and Subject Access Requests.
