We are looking for a highly organised and proactive Team Assistant & Events Coordinator to support the smooth running of our programmes, events, and day-to-day operations. This is a role for someone who thrives on detail, takes ownership of their responsibilities, and is genuinely excited by the world of luxury — and by our mission within it. You will be the connective tissue of the team: keeping events on track, holding people accountable, managing communications, and ensuring nothing falls through the cracks. From the first invitation send to the final post-event debrief, you will be across the full event lifecycle.

  • Event Coordination & Logistics
    • Manage the full event lifecycle from planning through to post-event wrap-up.
    • Coordinate with venues on logistics, catering, food and drink requirements, and on-site setup.
    • Handle all printing requirements for events — materials, programmes, name cards, and collateral.
    • Send diary invites from the events account and ensure all attendees are aligned ahead of each event.
    • Be present and hands-on on the day of events, managing coordination, flow, and any last-minute requirements.
  • Invitations & Attendee Management
    • Lead invitation outreach for all events — drafting, sending, and managing responses.
    • Chase invitees rigorously and always maintain up-to-date attendee lists.
    • Follow up with attendees on outstanding RSVPs, dietary requirements, and event-day logistics.
    • Align attendees with the right events, ensuring the right people are in the right rooms.
  • Events Mailbox Management
    • Send, track, and follow up on contracts with programme participants, partners, and suppliers.
    • Maintain rigorous filing systems so that all documents, contracts, and correspondence are organised and accessible.
    • Support interview scheduling for programme candidates and participants.
    • Chase the wider team on accountabilities — ensuring tasks are assigned, deadlines are met, and nothing is left outstanding.
  • Team & General Administration
    • Provide day-to-day administrative support across the team.
    • Track outstanding actions and follow up proactively with internal and external stakeholders.
    • Support broader team operations as required, adapting to the fast-paced and varied nature of the business.

Skills & Requirements

  • Exceptionally organised with a meticulous attention to detail — you notice what others miss.
  • Strong written communication skills; confident drafting professional outreach and follow-up correspondence.
  • Process orientated; you chase, you track and you close the loop without being asked twice.
  • Resilient and confident managing multiple workstreams simultaneously in a dynamic, fast-moving environment.
  • Confident using standard productivity and scheduling tools (calendars, shared drives, spreadsheets).
  • A team player who also works well independently and takes initiative.
  • Previous experience in events, programme coordination, or executive/team assistance is desirable.
