Reporting to a Senior Partner leading a major part of the firm’s Executive Search platform, this role provides high-level, one-to-one support within a fast-paced, entrepreneurial environment. The role requires a proactive, commercially minded individual who thrives in a results-driven, collaborative and community-oriented culture.

The successful candidate will be highly organised, detail-oriented, and capable of exercising sound judgement across a wide range of situations. Strong written and verbal communication skills are essential, alongside excellent administrative capability and the ability to manage multiple priorities effectively while maintaining discretion in handling confidential matters.

A critical aspect of the role is advanced proficiency in leveraging AI tools to enhance productivity and workflow efficiency. This includes hands-on experience with AI chatbots, large language models (LLMs), and prompt engineering to support research, execution, and process optimisation.

The role will be expected to operate with a high degree of autonomy, managing projects end-to-end—from initial concept through to completion—while maintaining pace and quality under pressure. The role demands flexibility, resilience, and the ability to seamlessly balance competing demands in a dynamic, high-performance environment.

Duties and Responsibilities:

  • Completes a broad variety of administrative tasks including working with AI Chat Bots and Systems, visualisation tools like Lucid Org Charts, Databases, and the entire Office 365 Suite and CoPilot.
  • Managing an extremely active calendar of appointments; completing expense reports; composing and preparing confidential correspondence.
  • Works closely and effectively with the Senior Partner and senior members of the team to keep well informed of upcoming commitments and responsibilities, following up appropriately.
  • Provides a bridge for smooth communication between team members; demonstrating leadership to maintain progression on projects.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including creating, generating, and modifying reports.
  • Prioritises conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Maintains discretion and confidentiality in relationships with all clients and candidates.
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours.

Experience Requirements:

  • Proven experience supporting senior executives or leadership teams within a fast-paced, professional environment.
  • Strong capability in leveraging AI tools (including chatbots, LLMs, and prompt design) to improve efficiency and output quality.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), conferencing platforms (Teams/Zoom), and document management/PDF editing tools.
  • Experience using CRM systems to manage workflows, data, and client or candidate interactions.
  • Clear, professional communicator with the ability to engage effectively across all levels.
  • Flexible and responsive, with the ability to work outside standard business hours when required to support business priorities and client demands.
