We are looking for an additional member to join our reception team for 17 hours per week over the following days:
- Monday 08:00 - 14:00
- Tuesday 08:00 - 14:00
- Thursday 08:00 - 13:00
Flexibility to cover holidays and sickness throughout the week between the hours of 08:00 and 18:30 would be required.
Main duties of the job
The role involves a variety of patient administration and front-line patient support over the telephone and face to face within a rural general practice setting. Key responsibilities include:
- Opening and closing of the surgery.
- Give out repeat and acute prescriptions to patients or their representatives.
- Assist patients with face-to-face enquiries and follow up as necessary.
- Answer all incoming telephone calls, booking appointments as necessary and actioning any queries resulting from those calls.
- Ensure all emails are acknowledged and processed in the correct time frame.
- Patient administration to include registrations, online access, DVLA, insurance requests.
- To ensure all tasks are dealt with and escalated if necessary.
- Process all scanning (paper and electronic).
- Support GPs and The Practice Managers.

Job responsibilities
To be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the practice team. Duties include greeting and directing patients, patient registration, booking appointments, processing of information (electronic and hard copy) and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages, and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service provider.
Job Responsibilities (not limited to):
- Maintaining and monitoring the practice appointment system.
- Book all nursing appointments.
- Answer incoming phone calls, transferring calls or dealing with the caller's request appropriately.
- Signpost patients to the correct service where appropriate.
- Process incoming and outgoing emails.
- Process documentation as required.
- File and store records as required.
- Data entry of new and temporary registrations and relevant patient information as required.
- Input data into the patients' healthcare records as necessary.
- Scanning of patient related documentation and attaching scanned documents to patients' healthcare records.
- Accept payment for private medical work.
- Manage all queries (including administrative queries) as necessary in an efficient manner.
- Accept deliveries from couriers.
- Ensure the pathology samples are collected.
- Maintain a clean, tidy, effective working area at all times.
- Support all clinical staff with general tasks as requested.
Person Specification
Experience
Experience of working as a GP Receptionist or similar position within a medical setting. Experience of using SystmOne.
