NET‑A‑PORTER is the leading luxury fashion destination for women. The Buying team is looking for a talented Buying Administration Assistant to join us on a permanent basis. You will play a key role in supporting the smooth running of the department by ensuring accurate purchase order management, maintaining supplier relationships and providing operational support across the buying cycle. The ideal candidate is highly organised, detail‑oriented and thrives in a fast‑paced, collaborative environment. You will work closely with internal teams and external partners to ensure products are set up accurately and delivered on time, supporting the commercial success of the department.

Location: Westfield office in Shepherd’s Bush.

Reporting into: Senior Buyer.

Working hours: 37.5 hours per week (4 days in office).

Responsibilities

  • Managing and maintaining accurate purchase orders and order confirmations across internal systems.
  • Supporting supplier onboarding and maintaining accurate records for payment terms and shipping details.
  • Raising re‑orders and assisting with seasonal and ad hoc buying activities.
  • Performing site, product and pre‑upload checks to ensure products are ready to go live.
  • Managing pricing and RRPs to ensure margin and retail pricing accuracy.
  • Preparing vendor packs and reports to support buying trips and commercial decision‑making.
  • Acting as a key point of contact for operational queries across Buying and other business functions.
  • Building strong relationships with suppliers and internal stakeholders to ensure issues are resolved effectively.
  • Providing administrative support to the wider Buying team and contributing to department priorities.
  • Identifying opportunities to improve processes and support the smooth running of the function.

Qualifications

  • Previous experience gained within a fast‑paced fashion retail buying or merchandising environment, with strong administrative skills.
  • Highly organised, with excellent attention to detail and a commitment to maintaining accuracy.
  • Commercially aware, with an understanding of the luxury retail market and products.
  • Numerically confident and analytical, with strong problem‑solving skills.
  • Advanced Microsoft Office skills, particularly Excel, PowerPoint and Word.
  • Able to manage multiple priorities and work effectively under tight deadlines.
  • Proactive, adaptable and comfortable working in a fast‑paced environment.
  • An effective communicator who can build strong relationships with internal and external stakeholders.
  • Collaborative and supportive, with a willingness to contribute to team success.
  • Positive, professional and accountable in your approach to work.
